Great Lakes Inter-Tribal Council is a non-profit organization formed by the Native American Tribes of Wisconsin.  We serve all WI tribes by providing administration of grant-funded programs either directly or with sub grants. Programs range from Child and Maternal services to Education to Disability and Elder benefits. Our Mission is: To Enhance the Quality of Life for all Native People.

Administrative Assistant

Position Summary:

This position provides administrative and clerical support to the GLITC Board of Directors, Chief Executive Officer, Chief Financial Officer, Compliance Officer and Human Resources Director. This individual will be expected to carry out a broad range of duties, acting as nearly invisible support, is highly self-motivated, works with minimal supervision, always exhibits a professional demeanor, maintains confidentiality, and can prioritize tasks in a fast-paced environment. Daily attendance is an essential function of this position.

Principle Duties and Responsibilities:

· Coordinates and provides administrative and clerical support for the senior leadership team at GLITC. 

· Responds to telephone and email inquiries and correspondence. Responds to information in a professional and prompt manner.

· Serves as the sole source and Administrative Assistant to the GLITC Board of Directors. This involves complete ownership of all bi-monthly Board of Directors meetings at all Wisconsin tribal sites. 

· Helps with coordination and arrangement of external meetings and conferences by reserving and preparing facilities.

· Arrange conferences and meetings including scheduling, coordinating, and confirming meeting locations, accommodations, travel arrangements, notification of staff and other participants.

· Assists Staff with travel reimbursement forms if appropriate.

· Assists with formats, copies, and assembled reports, newsletters, brochures, publications and training materials. 

· Coordinates program mailings. Develops and updates program directories and mailing lists.

· Records and maintains minutes of meetings.

· Organizes and maintains files systems, file correspondence and other records.

· Supports the completion of agreements and/or contracts as needed.

· Able to multi-task and prioritize requests.

· Serves as back-up to the Receptionist.

· Engages in networking activities to ensure awareness of services available.

· Assures all services are delivered in a culturally sensitive manner.

· Participation in various committees outside and within the organization as deemed necessary and appropriate to the position and supervisor. 

· Attend all training sessions and meetings as scheduled.

· Attend technical conferences and seminars to stay current on technological advances.

· Performs other duties as assigned and necessary to fulfill the responsibilities of this position.

Working Relationships and Scope:

Reports to the Human Resources Director. Daily contact with all senior staff and other departments to obtain and share information. Occasional contact with state agencies for purposes of remaining current on various issues and providing current information and meeting requirements for the service area.

Demonstrates a friendly and helpful approach and attitude to internal and external customers; professionalism; and commitment to the job.

Knowledge, Skills and Abilities:

Any equivalent combination of experience and education that would provide the required knowledge and abilities is qualifying. Preferred: Two-year degree in administrative/office support services or related field. There is a minimum of four years of experience required in administrative support, preferably with senior leadership teams. Experience with a Native American Tribal organization and/or not-for-profit organization. Strong knowledge of and experience with the Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and other Microsoft database platforms. Strong skills in typing, word processing, composition, editing and proofreading of professional and technical materials. Individuals must possess excellent verbal and written communication skills; a professional demeanor and appearance; problem solving skills; ability to manage time effectively; self-motivation skills; work effectively under pressure; ability to build positive work relationships with internal and external customers; ability to interact professionally with a wide variety of people. Individuals must be able to apply advanced reasoning skills to problem solving. You must possess valid driver’s license and/or reliable transportation with adequate insurance and ability to travel. There is travel involved in this position to all Wisconsin tribal sites (occasionally) and possibly Michigan Upper Peninsula tribal sites.

This is a full-time non-exempt position with a pay range of $23.00 - $25.00 per hour, depending on years of experience, relevant experience and education. This position is in our Lac du Flambeau, Wisconsin office. This position is not a remote position. The position includes the following benefits: paid time off (PTO) in the form of annual and personal leave; paid holidays; insurance benefits including health, dental, life insurance, accidental death, and dismemberment (AD&D) insurance, short-term (STD) and long-term (LTD) disability insurance; health savings account (HSA), flexible spending account (FSA), and 401(k) retirement plan.  Drug and background checks are required before hire.
