Our client, the European Union Agency for Law Enforcement Training (CEPOL), is an agency of the European Union dedicated to developing, implementing and coordinating training for law enforcement officials. The Centre is located in Budapest, Hungary. Civitta in cooperation with with I-DEAL Informatikai, Szolgáltató és Kereskedelmi Kft. is providing temporary staffing services to the agency.
Travel Assistant
As a Travel Assistant at CEPOL, you will be primarily concerned with the travel and logistical arrangements associated with the operational business of the agency. Reporting to the Head of EUTH, you will coordinate, book, and record travel arrangements for CEPOL staff, visitors, and activity attendees.
You will:
- Book travel options, including flights, accommodation, and venues, providing logistical support for activities and events
- Liaise with contracted service providers to resolve daily issues related to flight and accommodation bookings
- Maintain monitoring spreadsheets to record all travel data and incurred costs
- Check invoices received from contracted service providers in relation to bookings made by the Travel Team
- Monitor travel budget execution and report on budgetary allocations and expenditure
- Contribute to regular and ad-hoc travel-related reports
- Report to management and staff regarding travel disruptions or emergencies associated with contracted agencies
Requirements:
- University degree of at least 3 years of study
- At least 3 years of relevant professional experience
- Proven experience in corporate travel management, including flight and hotel booking workflows
- Proficiency in budget monitoring and tracking expenditure against allocations
- Experience in invoice verification and liaising with external service providers or travel agencies
- Excellent command of English (B2 level or higher)
- Strong organisational, administrative, communication, and teamwork skills
