Job Summary
The Commercial Administrative Assistant provides proactive and coordinated administrative support for the General Manager, Global Crude Oil & NGL and the broader Commercial organization at ConocoPhillips. This role supports multiple commercial teams located in Houston, TX, including Crude, NGL, Strategy/Analytics, Port Arthur, LNG, Contracts, Compliance, and IT. As ConocoPhillips continues its commercial transformation, this position plays a vital role in keeping a dynamic, high-performing team organized, informed, and moving forward.Position Overview
Your responsibilities may include:
- Managing and maintaining calendars for multiple leaders and teams across the Commercial organization
- Scheduling and coordinating meetings, conference rooms, team events and activities, catering, and teleconferences
- Supporting Commercial team communications, including the preparation and distribution of internal updates, presentations, and correspondence
- Coordinating domestic and international travel arrangements for supported leaders and teams
- Preparing and processing expense reports accurately and in a timely manner
- Developing and maintaining organized filing systems and document management in both electronic and paper formats
- Supporting commercial transformation initiatives through project coordination, deadline tracking, and facilitating cross-team collaboration
- Serving as the first point of contact for the Commercial north-side teams by managing incoming calls, emails, and messages appropriately and professionally
- Assisting with onboarding logistics and coordination for new team members
- Managing procurement needs, vendor coordination, and office supply inventory
- Other administrative duties as assigned

Basic/Required:
- Must be legally authorized to work in the United States on a full-time basis for anyone other than current employer
- 3 or more years of experience in an administrative support role, preferably supporting multiple leaders or teams simultaneously
- Intermediate level of proficiency with MS O365 applications: Word, Excel, PowerPoint, Outlook, SharePoint, and Teams
Preferred:
- Experience supporting commercial, trading, or energy industry teams preferred
- Ability to maintain confidentiality and exercise sound judgment with sensitive business and commercial information
- Strong organizational skills with ability to prioritize competing demands across multiple teams and functions
- Excellent interpersonal skills with a customer-focused, service-oriented mindset
- Flexible, adaptable, and energized by working in a fast-paced, evolving commercial environment
- Demonstrated ability to work independently and collaboratively within a large, cross-functional team
- Experience supporting teams through periods of organizational change or business transformation
