Role, Function & Organization  

The Administrative Assistant provides customer service and administrative support to the company through a variety of tasks such as meeting coordination, maintaining records, assisting field personnel, and phone coverage. This role is essential in supporting different processes and managers within the branch to reach and exceed company goals. This role works collaboratively with office personnel and contributes to overall organizational success through strong service, communication, and follow-through.

Essential Duties and Responsibilities

Administrative & Operational Support:

  • Answer incoming calls; route calls and messages to the correct department or individual
  • Handle incoming mail; Manage outgoing mail and packages
  • Maintain inventory and order various office supplies as needed
  • Perform copying, scanning, and filing of documents as needed
  • Assist with creating, processing, and mailing invoices and billing statements in coordination with project teams
  • Open work authorizations and assist with internal requisition entries
  • Support organization of meetings, branch events, safety meetings, and company functions

Customer & Team Collaboration:

  • Facilitate communication between office staff, Project Managers, field employees, vendors, and customers
  • Develop and maintain relationships with customers; ensure high quality service is provided
  • Work collaboratively across departments to support smooth daily operations and special projects

Employee & Company Development:

  • Maintain personal and professional development plan
  • Promote a positive, solution-oriented work environment by communicating clearly, sharing ideas, and contributing to process improvements
  • Support employee engagement efforts

Safety/Hazard Recognition & Elimination:

  • Pre-plan and identify the methods to eliminate hazards daily by work task. 
  • Execute skill in observing habits and hazards of others and bringing it to their attention. 
  • Uphold safety as the most important goal of our company.  Support goal of achieving zero accidents. 
  • Promote and encourage open communication between field and office regarding all safety concerns, suggestions, improvements, and PPE needed. 
  • Obtain safety training as expected by all company personnel. 

Qualifications and Requirements

  • High School Diploma (or equivalent) required
  • Higher education preferred
  • Prior customer service experience in an office environment required

Experience, Skill and Abilities

  • Positive safety attitude and personal integrity -- both are non-negotiable
  • Proficiency with Microsoft Office Suite (including Excel, Word, Outlook, and Teams)
  • Excellent customer service orientation
  • Strong communication skills, both verbal and written
  • Strong interpersonal skills; ability to interact with all levels of the company and customers
  • Ability to see details and recognize errors, working within precise standards of accuracy

Physical Requirements

Office environment, requiring sitting and standing and extended amounts of time using a computer/keyboard at a single workstation.

Skills Required

  • High School Diploma or equivalent
  • Prior customer service experience in an office environment
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams)
  • Strong verbal and written communication skills
  • Strong interpersonal skills and ability to interact with all levels
  • Attention to detail and accuracy
  • Positive safety attitude and personal integrity
