We are seeking a highly organized, detail-oriented, and customer-focused Administrative Assistant to support our CEO and top-performing Sales Arborist. In this key role, you will help drive operational efficiency, ensure exceptional client service, and contribute to the seamless coordination of sales and administrative activities. As an Administrative Assistant, you will serve as a central point of coordination between clients, sales arborists, and internal teams. You will be responsible for preparing professional client proposals, managing communications, coordinating schedules, maintaining accurate customer records, and supporting daily business operations. Success in this role requires strong written and verbal communication skills, exceptional organizational abilities, attention to detail, and the ability to prioritize effectively in a fast-paced environment.

Your responsibilities will include:

  • Prepare detailed, client-specific proposals in collaboration with Sales Arborists
  • Manage incoming information requests, email correspondence, and client communications
  • Coordinate meetings, conference calls, and appointments for the CEO and Sales Arborists
  • Provide outstanding customer service and support throughout the client journey
  • Maintain sales calendars and create accurate work orders
  • Manage and update customer records, databases, and filing systems
  • Process customer payments and related documentation
  • Coordinate schedules, appointments, and project-related activities
  • Ensure timely follow-up and a consistently exceptional client experience
  • Support daily office operations and administrative processes
  • Communicate office updates and customer concerns during regular meetings with the CEO
  • Uphold company policies, procedures, and customer-service standards

Requirements
  • Minimum of 5 years of experience in an Administrative Assistant, Executive Assistant, or similar administrative support role
  • Bachelor's degree in Business Administration, Communications, English, Journalism, Marketing, or a related field preferred
  • Proven experience preparing professional proposals, reports, presentations, and business correspondence
  • Demonstrated commitment to delivering exceptional customer service and building positive client relationships
  • Experience in a service-based industry is a plus
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Excellent written and verbal communication skills, with strong attention to grammar, accuracy, and professionalism
  • Strong organizational, multitasking, and time-management skills with the ability to prioritize competing deadlines
  • Exceptional attention to detail and commitment to producing high-quality work
  • Professional demeanor, sound judgment, and outstanding interpersonal skills
  • Excellent telephone etiquette and the ability to communicate confidently with clients, executives, and team members
  • Self-motivated, resourceful, and able to work effectively in a fast-paced environment with minimal supervision

Benefits

We offer a competitive compensation package, $60,000 - $75,000 based upon experience. Medical, Dental and Vision plans with employer contribution, 401K retirement savings plan, paid time off, and more!

Skills Required

  • Minimum five years' experience as an Administrative Assistant
  • Four-year degree in Business, Business Management, English, Communications, Literature, Journalism, or related field
  • Prior experience creating proposals, reports, and/or presentations
  • Experience providing exceptional customer service
  • Experience in the service industry is a plus
  • Highly proficient in Microsoft Word, Excel, and Outlook
  • Strong written and verbal communication skills
