The Administrative Assistant provides general office support for a variety of clerical activities and tasks, including but not limited to answering incoming calls, documentation, entering cargo data into various inventory programs, assisting truckers, printing documents to be used in the cargo handling operation, Invoicing, accounts payable, and organizing office communication/activities on a day-to-day basis.  This role also provides general administrative support, including accurate and timely payroll processing, legal filings, and reporting.
 
  • Maintains the location’s time recording and reporting for all non-exempt company employees as well as temporary labor so that all employees are accurately paid.
  • Assists employees with payroll-related questions or concerns.
  • Timely invoicing for all permanent and one-time jobs except the transportation brokerage.
  • Communicates clearly and professionally with customers and vendors regarding any invoice issues and discrepancies.
  • Process all vendor invoices and submit to Management for review and approval; maintain all vendor files.
  • Responsible for general administrative functions of the operation.
  • Serves as a go-to for general office inquiries.
  • Ensure accuracy is met when calculating and reporting on monthly revenue reports and Little Rock Port Authority rent calculations.
  • Answer and direct phone calls to appropriate personnel in a courteous manner.
  • Maintain records management efficiently and confidentially.
  • Be aware of surroundings to maintain a safe and injury-free work environment.
  • Responsible for special tasks requested by Management.
  • Provides support as needed for the Shipping and Receiving department.

Preferred Qualifications
  • High School diploma preferred.
  • Knowledge processing multi-location payroll.
  • Working knowledge of payroll best practices.
  • Strong PC skills, including proficiency in Excel.
  • Strong work ethic and team player.
  • High degree of professionalism.
  • Ability to deal sensitively with confidential material.
  • Strong interpersonal (verbal and written) communication skills.
  • Ability to communicate with various levels of management.
  • Decision-making, problem-solving, and analytical skills.
  • Organizational, multi-tasking, and prioritizing skills.
  • Must be able to work under weekly deadline pressures, quarter-end and year-end activities related to payroll, inventory control, and financial reporting.

Work environment:

  • Required job duties are normally performed in a climate-controlled office environment.
  • Exposure to computer screens.
  • The noise level in the work environment is usually moderate

Pay Range

$20.00 - 25.00 per hour

Compensation & BenefitsEligible employees (and their families) may qualify for medical, dental, and vision insurance, as well as having basic life and accidental death insurance, paid disability insurance, including paid parental leave if eligible, and an Employee Assistance Program.
