About the Opportunity
JOB SUMMARY
This position provides administrative support for the Psychology Department’s faculty and staff and contributes to the overall effectiveness and daily operation of the department. Core responsibilities focus on the department’s undergraduate mission and include working with COS undergraduate student services and both COS and departmental undergraduate advisors on matters related to the department’s many undergraduate programs. The Administrative Assistant is responsible for such activities as answering general questions about degree programs, assisting with degree audit queries, preparing materials for new student orientation and student registration, and overseeing work-study hires.
QUALIFICATIONS
- Required a minimum of 3 years of related office experience, preferably in higher education
- Associate degree or higher preferred.
- Excellent skills in PC environment, familiarity with Microsoft office applications (Word, PowerPoint, and Excel).
- Strong interpersonal, organizational, and communication skills.
- Must enjoy interacting with students and be able to work under pressure during peak times each semester.
- Must demonstrate maturity, tact and the ability to maintain a high level of confidentiality.
- Must be able to work independently and as part of a team.
RESPONSABILITIES
- Assists with undergraduate registration process
- Prepares departmental materials for faculty, such as those involving student petitions
- Processes change of grade forms
- Coordinates advising appointments
- Assists faculty with advising
- Updates and tracks student audits in DARS
- Prepares materials for orientations/open houses
- Provides updated enrollment data to department Chair
- Prepares departmental course evaluation forms for distribution to students
- Greets visitors to main department office, answers questions and directs them to appropriate office or lab
- Reproduces class material for faculty
- Orders and tracks office supplies
- Reserves rooms for various meetings
- Prepares office hour schedules for faculty
- Helps troubleshoot problems with photocopier/scanner
- Assists with proctor requests
- Updates department phone/email list
- Submits jobs for posting in student employment system
- Approves timesheets
- Trains faculty and staff to navigate student employment website
- Other duties as assigned within the general scope of the position
