Join Affinity's Executive Operations team as a collaborative partner supporting members of the team. This is an ideal early-career role for someone with 1–3 years of administrative experience who wants to level up their skills while working alongside seasoned executive support professionals.
You'll support the Executive Operations team in managing high-impact initiatives across a fast-paced environment—customer programs, company-wide events, and cross-functional coordination—while learning to build cutting-edge AI workflows and processes. This role requires you to pivot quickly when things change, juggle multiple workstreams simultaneously, and stay energized by variety rather than routine—but you won't be doing it alone. What You'll Do (with Executive Operations team guidance and support)Event & Meeting Coordination
- Assist with co-ordinating customer and prospect programs including (but not limited to) Notion tracking, spreadsheets, meeting invites, meeting spaces, hotel bookings, ground transportation, and catering
- Support All Hands production and quarterly business review logistics
- Research and coordinate venues for executive offsites, build events, and GTM gatherings
- Assist with managing event RSVPs, communications, and day-of logistics including DoorDash tracking and on-site support
Executive Support & Operations
- Work alongside the team to manage complex domestic and international travel arrangements
- Assist with any hotel bookings and budget approvals in partnership with Finance
- Book meeting rooms for local executives and arrange hub access for visiting guests
- Provide vacation coverage for Executive Operations team across the organization
Process Improvement & Systems
- Help build AI-enabled workflows to streamline administrative processes
- Create and maintain spreadsheets, trackers, and operational calendars as sources of truth
- Assist with slide preparation and formatting
Ongoing Administrative Responsibilities
- Participate in weekly EA team syncs and monthly alignment meetings
- Track quarterly priorities and ensure weekly updates are completed
- Support operating cadence logistics across departments
- Assist with presentation reminders and formatting for internal slide presentations
Experience
- 1–3 years in an administrative, coordination, or operations role (SaaS, fintech, or professional services preferred)
- Some experience juggling multiple priorities or working cross-functionally
- Demonstrated ability to handle confidential information with discretion
- You don't need to be an expert—we're looking for someone eager to learn and grow with strong foundational skills
Technical Skills
- Solid proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
- Curious about or some exposure to AI tools (Claude, ChatGPT, Gemini) for process improvement and productivity
- Willingness to learn workflow automation (Zapier or similar)
- Comfortable with Zoom and basic video conferencing

A reasonable estimate of the current range is $70,500 to $88,000. Within the range, individual pay depends on various factors including geographical location and review of experience, knowledge, skills, abilities of the applicant.
