Position Overview
adMarketplace is seeking a highly organized and proactive Administrative Assistant to support our Chief Product Officer (CPO), SVP of Global Business Development, and Chief Technology Officer (CTO). This role is critical to ensuring seamless executive operations and office coordination.
The ideal candidate thrives in a dynamic environment, demonstrates exceptional attention to detail, and anticipates needs before they arise. This individual will manage executive administrative responsibilities and adhoc requests as business needs arise.
Key Responsibilities
  • Provide comprehensive administrative support to multiple executives, including calendar management and travel arrangements
  • Manage expense reports in a timely manner
  • Organize and coordinate in-person and Zoom meetings, ensuring scheduling efficiency across teams
  • Track ongoing projects and ensure follow-up on outstanding needs and action items
  • Coordinate conference room reservations
  • Assist with new team members or vendor onboarding and submit invoices for payment.
  • Support departmental projects, offsites and company events as needed
  • Provide coverage for the Executive Assistants as well as Office Manager as needed

What You Will Need
  • Bachelor's degree preferred.
  • 2+ years of administrative or office support experience.
  • Strong organizational skills with the ability to prioritize multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, Zoom, and similar collaboration tools.
  • Experience coordinating with vendors, facilities, or building management is a plus.
  • Detail-oriented, proactive, and comfortable handling multiple projects in a fast-paced environment.
  • Professional demeanor with strong judgment and discretion.

*This range represents the low and high end of the base salary someone in this role may earn as an employee of adMarketplace in the New York office. Salaries will vary based on various factors including but not limited to professional and academic experience; training; associated responsibilities; and other business and organizational needs. The range listed is just one component of our total compensation package for employees. Salary decisions are dependent on the circumstances of each hire.
