Job Summary
This position provides comprehensive administrative and project coordination support to leadership and teams by managing schedules, coordinating meetings and events, preparing accurate and timely reports, correspondence, and presentation materials, and maintaining efficient administrative systems and processes. The role requires strong organizational skills, sound judgment in prioritization and conflict resolution, and the ability to independently complete projects with minimal oversight. Responsibilities include budget and expense support in coordination with Accounting and FP&A, travel arrangements, action‑item tracking, and continuous improvement of administrative workflows, while delivering excellent internal and external customer service and maintaining a high level of professionalism.
Essential Functions
- Communicates with internal and external contacts.
- Provides administrative and logistical support to a team.
- Creates reports and spreadsheets by obtaining, compiling and organizing data.
- Schedules for others and utilizes judgment when scheduling conflicts occur.
- Monitors action items and requests dates for completion to ensure effective and timely completion of requests.
- Recommends, creates, implements and maintains improved administrative systems, procedures and processes including electronic and paper-based filing systems.
- Completes projects and tasks with minimal oversight and direction.
- At the direction of leadership work with Accounting and FP&A to ensure the department budget and actuals are properly reflected for the department
- Support leadership with making travel arrangements and completing corresponding expense reports
- Project coordination and completion.
- Well prepared, accurate and timely correspondence, reports & presentation materials.
- Thoroughly planned and executed meetings and events.
- Well scheduled time through effective calendar management.
- Administrative efficiencies and improvements.
- Excellent internal and external customer service.
Required Qualifications For Position
- High School Diploma
- 1-3 years Two (2) years recent project coordination or related administrative support experience
- Proficiency with Microsoft Word, Excel, PowerPoint and Lotus Notes
- Ability to learn and coach others on new software programs
- Knowledge of proper document design and execution, e.g., report formatting, business letters
- Strong interpersonal skills and the ability to project a professional demeanor and image
- Strong communication skills and professional demeanor with the ability to take initiative
Preferred Additional Qualifications for Position
- Associate's Degree from an accredited college or 5-8 years’ experience in an administrative support capacity
- Prior experience providing logistical and administrative support to a team

Salary Range*:
$54,000.00 - $75,500.00*The salary offered to a candidate is based on several factors including but not limited to the candidate’s skills, job-related knowledge, and relevant experience, as well as internal pay equity.
