Are you interested in being a part of a fast-paced team that focuses on making North Carolina roads safer? We're seeking an Administrative Assistant to join our team. This is a customer service-focused position located on-site at the North Carolina Department of Transportation (NCDOT) Governor’s Highway Safety Program office in Garner, North Carolina.At HNTB, you can create a career that is meaningful to you while building communities that matter to all of us. This opportunity entails, while under a moderate degree of supervision, managing the day-to-day office operations, serving as the office’s first point of contact, overseeing access authorization for the agency’s online grant system, event planning and logistics, and off-site event support.
What You’ll Do:
- Maintains calendars and schedules appointments.
- Coordinates and schedules meetings and prepares meeting agendas.
- Coordinates and arranges travel and accommodations, and prepares travel itineraries.
- Directs incoming calls, welcomes visitors, and answers routine questions. Sorts and distributes incoming mail and prepares outgoing mail.
- Compiles basic reports or presentations with information from established sources as directed. Prepares a variety of correspondence with a moderate degree of guidance.
- Organizes and maintains office files (electronic and hardcopy) and records in accordance with internal retention policy and procedures.
- May perform data input and prepare forms in support of the manager or department.
- Performs other duties as assigned.
What You’ll Need:
- High School Diploma/GED or equivalent
- 2 years related administrative experience
What We Prefer:
- 4 years of related administrative experience
- Ability to manage the day-to-day operation for the unit’s office functions, including materials inventory and materials distribution
- Ability to serve as the first point of contact for the agency answering general questions and referring more detailed information to internal and external partners, and providing information and support in the preparation of documents, materials, and general information.
- Ability to oversee access authorization for the agency’s online grant system, development and maintenance of the records retention schedules; including proficiency with Microsoft Office, Excel and Access applications and/or databases
- Ability to assist External Assistant Director with event planning and logistics and off-site event support.
