What you’ll do

  • Manage scheduling and calendars for the Head of Operations and Operations leadership team, including coordinating meetings across global time zones.
  • Prepare and edit correspondence, reports, and presentations with a high level of accuracy and attention to detail.
  • Organize and track departmental priorities, deadlines, and deliverables to ensure timely completion.
  • Arrange travel and logistics for team members, including booking flights and accommodations and managing itineraries.
  • Handle expense reporting and invoice processing in compliance with firm policies and procedures.
  • Maintain documentation and records, including team workflows, processes, policy documents, and key operational files.
  • Assist with onboarding of new team members, including coordinating training and access to systems.
  • Help plan team initiatives and events fostering collaboration and engagement.

What’s REQUIRED

  • 2+ years of experience in administrative or operational supporting financial services or a fast paced corporate environment
  • Exceptional organizational skills and ability to manage multiple priorities simultaneously
  • Strong written and verbal communication skills with the ability to liaise effectively across levels and functions
  • High attention to detail and commitment to accuracy
  • Proactive and resourceful work ethic, with the ability to act independently
  • Proficient in Microsoft Office Suite and comfortable learning new systems
  • Discretion in handling confidential and sensitive information
  • Commitment to the highest ethical standards
