About the Role:

The successful candidate will be highly organized, proactive, and adaptable, with the ability to manage multiple priorities and communicate effectively across a range of stakeholders. A strong command of Microsoft Office tools (particularly PowerPoint, Excel, Teams, Outlook, and OneDrive) is essential, as the role involves preparing reports, presentations, and business documentation.

This role requires professionalism, discretion, a collaborative spirit, and the ability to work independently. The Administrative Assistant may also be asked to provide reasonable support to other executives in the office as needed.

Administrative Support

  • Provide daily administrative support to the Area SVP, Hotel Operations Europe, and additional support to the SVP, Design Services – Global and VP, Pre-Opening Services
  • Manage calendars across time zones, coordinate meetings, handle schedule conflicts
  • Arrange complex travel logistics (flights, hotels, transfers) and prepare detailed itineraries
  • Track and reconcile monthly expense reports using Concur
  • Maintain electronic and physical files, tracking logs, and signature routing
  • Draft and format correspondence, reports, and documents; proofread and edit as needed
  • Handle routine office administration (mail, couriers, supplies, equipment, IT coordination)

Meeting & Communication Coordination

  • Schedule internal and external meetings and calls, prepare agendas and materials
  • Prepare presentation decks and supporting materials, ensuring visual and content accuracy
  • Assist with communication including internal announcements, memos, letters, and presentations
  • Send communications on behalf of the SVP and other senior members
  • Coordinate logistics for quarterly team meetings and regional leadership events
  • Liaise with Corporate and Property teams, owners, consultants, and external partners

Project Support

  • Support SVP-led initiatives and follow-up on assigned tasks
  • Assist with report preparation, timelines, and coordination for audits or business reviews
  • Track vacation schedules for direct teams and maintain organizational trackers
  • Support quarterly and annual reporting needs

Collaboration & Office Engagement

  • Foster positive relationships with administrative peers and other corporate teams
  • Coordinate social or team engagement activities including catering and event logistics
  • Liaise with external partners including Owners, Developers, consultants, and travel agencies

Additional Support

  • May be required to perform other reasonable duties, including providing support to other VPs or corporate executives based in the Geneva office

Technical Skills and Knowledge

  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Visio)
  • Proficient in Concur, SharePoint, Workday, Teams, Adobe Acrobat, and other collaborative tools
  • Strong presentation formatting and report preparation skills
