Position Overview

The Administrative Assistant in the Baltimore office will support the general office administration activities of a dynamic, high-growth organization. This role is client-facing, so the candidate must project a professional company image through in-person and phone interaction.

Essential Job Functions:

  • Provide timely, professional administrative assistance to employees and executives to enhance the team’s productivity
  • Prepare Travel & Expense reports
  • Create, edit, and troubleshoot documents using Microsoft Office (must be intermediate to advance in Microsoft PowerPoint, Word, Excel)
  • Support the production and assembly of company presentations and client materials
  • Setup and coordinate meetings and conference calls
  • Maintain hard copy and support electronic filing system for company and client investment materials
  • Support staff in assigned project-based work
  • Manage Outlook inboxes, recording and saving down documents
  • Setup and coordinate meetings and events
  • Assist company executives with the scheduling of travel
  • Act as a backup for general reception activity including answering telephones, scheduling, and directing clients and visitors
  • Back-up for maintaining office supply room and kitchen and keeping track of inventory
  • Support Facilities coordination
  • Other duties as assigned

Education and/or Work Experience Requirements:

  • College degree preferred
  • At least 3 years of administrative experience in a financial services organization or equivalent

Required Knowledge, Skills, and Abilities

  • Acute attention to detail
  •  Ability to be proactive and take initiative
  • Strong ability to multi-task and prioritize workflow in a fast-paced, detail-oriented environment
  • Intermediate to Advanced knowledge of Microsoft Office (Outlook, Word, and Excel essential), including knowledge of page and section breaks
  • Professional verbal and written communication skills
  • Foreign language skills is a bonus

Other Attributes and Physical Requirements:

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards
  • Must be able to lift and carry up to 20 lbs
  • Must be able to talk, listen, and speak clearly on the telephone



Salary Range - $45,000 - $60,000

The salary range is an estimate of pay for this position.  Actual pay may vary depending on job-related factors that can include location, education, skill, and experience.  The salary range does not include any benefits or other forms of possible compensation that may be available to employees.

The benefits package includes 15 days of paid vacation, 40 hours of sick leave, and 11 days of paid holidays. Eligible for health care (single and family). 401(k) plan with 3% safe harbor contribution is available. Eligible to receive annual discretionary incentive compensation, based on both individual and overall company performance, among other considerations.
