Overview
We are seeking an Administrative Assistant to provide support to members of our executive leadership team. This role requires a high level of organization skills, efficiency, proactive thinking, and ability to multi-task. Individual must work under pressure on competing requests/responsibilities with discretion and accuracy. The ability and desire to be in a fast-paced, global technology environment is essential. Experience as an administrative assistant with project coordination skills is a must.
Responsibilities

Proactively sync with executive leadership team members across time zones both domestic and international to understand and stay on top of team’s priorities, anticipate needs, and mitigate scheduling conflicts.

Work independently and take ownership of ability to prioritize multiple competing requests, often working under tight deadlines.

Manage complex calendars, scheduling a high volume of time-sensitive internal and external meetings globally/across multiple time zones, while managing conflicting meetings based on priority and urgency.

Book domestic and international travel arrangements for executive leadership team as requested (flights, trains, hotels, rental cars, etc.). Assist with renewing passports and obtaining travel visas/other travel documentation as requested. Support their teams with travel questions as needed.

Prepare, submit, and track expense reports for executive leadership team, maintaining back-up receipts and documentation for reimbursement of expenses in line with policy guidelines.

Attend staff meetings, as requested, to record action items and follow up until completed.

Plan, manage, and execute on internal and external group meetings to include, among other things, negotiating hotel contracts for room blocks/discounted hotel rates; coordinating audio-visual needs for the meetings at our offices and at off-site locations; managing catering orders for the meetings; and booking team dinners.

Draft memos, correspondence, and email communications, sometimes to be distributed on behalf of others.

Provide back-up support to Senior Executive Assistant and COM Executive Assistant on additional projects as requested.

For this role, we anticipate paying 70k-82k annually. Any compensation range provided for a role is an estimate determined by available market data. The actual amount may be higher or lower than the range provided considering each candidate’s knowledge, skills, abilities, and geographic location. Qualifications
- Minimum of 5 years’ experience in an administrative support role working with executives and their teams.
- Strong organizational skills and meticulous attention to detail.
- Strong written and verbal communication skills.
- Must demonstrate professionalism, cooperation, courtesy, and assertiveness.
- Must be able to handle confidential information appropriately.
- Advanced abilities in Microsoft PowerPoint, Excel, Word and other applications.
- BA degree preferred.
