Branch Administrator – Tennessee

Reports to: Vice President & General Manager – Tennessee | Location: Murfreesboro, TN

Hours: Full-time, 8 to 5 with an hour for lunch. Some overtime may be required.

Cowin Equipment is opening a new branch in Tennessee in January 2027, and this person will be the foundation of our success. You'll report to the VP and assist the branch's other managers. Your role is to help every department, keeping the office, the paperwork, and the follow-up in good order so the whole team can take care of customers.

Who you are • You're good with people and good with details. You treat everyone with respect and share our common goal: the high standards our customers expect. • You notice things early and speak up, so a small question never grows into a problem. • You're discreet. People trust you with what they tell you. • You bring experience in office administration, billing, or collections, and you're comfortable with Microsoft Office. Equipment dealer experience is a plus. You'll learn our systems and Claude, our preferred AI.

What you'll do

• Help open the branch. You'll help set up the office, the files, and the vendors, and work with our corporate office in Birmingham to learn how Cowin does things. You'll maintain all branch policies and our relationship with the corporate office.

• Support HR and onboarding. You'll work with Cowin HR on hiring and onboarding: scheduling interviews, handling new-hire paperwork and drug screens, and making sure each person is ready on day one. You'll check in with them afterward and keep personnel matters confidential.

• Assist sales. You'll assist the sales team as needed with paperwork and open items. Each month, you'll help provide the information for sales goals and the leaderboard.

• Help us invoice the right way. We believe every invoice should start with integrity, honesty, and fairness. You'll assist the VP in double-checking the details, with the customer when needed, before an invoice goes out, so a billing question never becomes a collection problem.

• Help with credit and customer files. You'll help set up and maintain credit applications and customer files, and help the VP review contracts and resolve account questions early.

• Communicate with customers. You'll help with branch communications and make sure every message reaches the right person the same day. This role isn't the direct contact for customers in sales, rental, parts, or service, but you'll be asked to help as needed.

• Work with vendors. You'll gather quotes for services such as cleaning and coffee, recommend the best fit, and look after the relationship.

• Lead events and causes. You'll take the lead on branch events, customer appreciation events, and the community causes the VP supports, and keep one calendar so nothing conflicts with a customer commitment.

• Build the team. You'll remember birthdays and anniversaries, organize branch meals, and let the VP know early when someone could use a hand.

• Other duties as assigned.

How we work • The VP approves contracts, spending, and any change to an invoice. You'll bring the facts and a recommendation. • We follow Cowin's policies and procedures. • We work as a team and do what is best in the long run for the customer and for Cowin.

Skills Required

  • Experience in office administration, billing, or collections
  • Comfortable using Microsoft Office
  • Ability to maintain confidentiality and handle personnel matters discreetly
  • Ability to coordinate HR onboarding, interviews, paperwork, and drug screens
  • Equipment dealer experience
  • Ability to learn company systems and Claude
