As our Administrative Assistant, you will support essential payroll, benefits, resident billing, and business office functions. Every day, you will assist with payroll and employee records, process benefit requests, maintain resident billing information, respond to resident and family billing questions, and help ensure administrative tasks are completed accurately and on time. To be successful, you must be organized, detail-oriented, able to maintain confidentiality, communicate effectively, and work comfortably with computer systems and office software.
Position Type: Full-Time, benefits eligible position
Wage Range: $20 - $22 / hour depending on experience

Administrative Assistant Responsibilities:

  • Answer phones and provide a welcoming experience to residents, families, visitors, and staff.
  • Assist with routine administrative and business office functions.
  • Support biweekly payroll and maintain accurate employee information and files.
  • Process benefit requests and provide employees with accurate benefit information.
  • Assist with new employee orientation related to payroll and benefits.
  • Assist with employee reports, unemployment claims, workers' compensation paperwork, and the hiring process as needed.
  • Complete routine accounts payable, resident billing, collections, cash receipts, and bank deposit functions.
  • Enter and maintain accurate resident billing information.
  • Review account balances for accuracy and collectability.
  • Respond to resident and family questions regarding billing and insurance.
  • Maintain resident personal fund accounts as requested.
  • Coordinate with the corporate office regarding data processing questions and issues.
  • Perform other duties as assigned.
Administrative Assistant Qualifications:
  • High school education required.
  • Accounting and/or payroll/benefits experience required.
  • Strong organizational and communication skills.
  • Ability to maintain confidential information.
  • Ability to perform work accurately and in an orderly manner.
  • Proficiency with computers, Microsoft Word, and Excel.
  • Ability to learn and use payroll, billing, and related software systems.
  • Strong attention to detail and ability to perform basic mathematical calculations.
  • Ability to work effectively with residents, families, employees, and other personnel.
