JOB PURPOSE:

Provide administrative support to Endeavors Workforce Wellness Program staff and U.S. Customs and Border Protection (CBP) clients through various administrative functions to include, but not limited to filing and posting required paperwork, assisting with accounting and invoice submissions, scheduling appointments, and meetings, managing calendars, maintaining organization records and general program support.

Qualifications

ESSENTIAL JOB RESPONSIBILITIES:

  • Oversee daily assignments to ensure tasks are completed accurately and within established deadlines.
  • Prepare, edit, and format documents, including correspondence, reports, drafts, memoranda, meeting minutes, and emails.
  • Coordinate maintenance and support for office equipment, including computers, copiers, and other required equipment.
  • Respond to INFO mailbox inquiries and requests for information in a timely and professional manner.
  • Receive, enter, and manage expenses, invoices, receipts, and related submissions.
  • Complete and submit expense reports in the designated system by required deadlines.
  • Perform administrative duties with accuracy, efficiency, and attention to detail.
  • Provide administrative and office support by answering and directing incoming calls, scheduling client appointments, preparing and proofreading correspondence and reports, and distributing client communications in a timely and professional manner.
  • Maintain organized program and legal records by filing, scanning, photocopying, and managing documentation, while supporting daily program operations to ensure efficient office workflow and compliance with organizational standards.
  • Coordinate all aspects of travel arrangements, including flights, local transportation, and lodging.
  • Coordinate administrative support functions by tracking and submitting travel-related receipts, drafting correspondence and presentations, and assisting with the preparation of reports, Excel spreadsheets, and other program materials to support daily operations and organizational objectives.
  • Manage program expenses by reconciling corporate card transactions, maintaining supporting receipts, and preparing and submitting invoices and expense reports in accordance with organizational policies.
  • Other duties as assigned.

ESSENTIAL QUALIFICATIONS: 

 

EDUCATION: High School Diploma or GED required. Associate or Bachelor’s Degree in business administration or relative field preferred.

 

EXPERIENCE: 2-3 years’ experience in a larger organization preferred with proven experience in providing exemplary assistance and an in-depth understanding of administrative procedures. Must be proficient in MS Office (Word, PowerPoint, Excel). Must be an analytical mind with problem-solving skills, excellent organizational and multitasking abilities, and a team player with leadership skills.

 

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion. Flexibility in hours required as needed for business purposes.

 

LICENSES: Driver’s License with clear record and must be able to pass a government background investigation.

 

VEHICLE: Must have daily use of a vehicle without prior notice.

 

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates.

Skills Required
