Fisher Phillips, a premier international labor and employment law firm, is seeking an experienced Administrative Assistant to join our team. In this essential role, you will help ensure the smooth operation of our services, directly supporting our attorneys in delivering exceptional client service and upholding our commitment to excellence.
Key Responsibilities
- Office Operations: Assist in collection, scanning, and saving correspondence in the firm's document management system; Assist with tracking attorneys’ professional training and continuing education certifications; record incoming payments; and support routine month-end accounting and recordkeeping activities.
- Administrative Support: Assist in preparing expense reports, processing invoice submissions, handling correspondence, and providing backup secretarial support such as scanning, copying, and other general administrative tasks.
- Office Management: Help maintain a professional, organized, and fully functional office environment; coordinate maintenance requests and work orders with building management; and provide administrative support for new hire onboarding.
- Legal Assistance: Assist attorneys with time entry and other legal administrative tasks, including preparing routine correspondence from established templates, formatting and revising documents, and providing general legal support as needed.
- Task Management: Prioritize and juggle multiple assignments while maintaining professionalism and confidentiality.
- Visitor and Meeting Coordination: Provide backup reception support as needed, including greeting and assisting visitors, coordinating deliveries, scheduling guest offices and conference rooms, and supporting meeting logistics, including room setup and meal arrangements.
Requirements
- College degree and minimum of 2 years secretarial or administrative experience in a related environment is required; 3 years legal experience is preferred.
- Intermediate-advanced skill level in Microsoft Word, Excel and Adobe.
- Expense Reporting experience preferred (Concur, Chrome River), and accounts receivable experience a plus.
- Experience with working in a team-oriented, collaborative environment.
- Demonstrated problem-solving abilities.
- Knowledge of the firm business process and business operations.
- Proficiency with Microsoft Office software.
The hourly rate range for this position is $26.23 - $31.79. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
