Wallace Montgomery (WM) is actively seeking an Administrative Assistant for immediate employment in our Hunt Valley, MD office to support our growing firm. The qualified candidate will possess a minimum of five (5) years of administrative experience. A knowledge of the A/E industry is strongly preferred as this position will be primarily supporting our Construction Management department.
Essential Functions:
- Manages administrative team and can perform the duties of any person in their department.
- Maintains company sub-agreements in coordination with Partners and Administrative staff.
- Coordinates with others for company functions, retreats, events, and training.
- Works with Marketing and Admin Department with distribution of company announcements.
- Collaborate closely with the Admin Team, our Richmond office and all other WM departments.
- Makes/assists with travel arrangements for Firm Staff.
- Responsible for company shipping needs.
- Manages company letterhead.
- Maintains company phone list.
- Answer phone calls and transfer phone calls as needed.
- Other duties as assigned.
Qualifications:
- BA or BS in Business Administration or related discipline preferred, or equivalent work experience.
- Proficiency in MS 365/Office (Word, Excel, PowerPoint) required
- Deltek Vision experience is preferred.
- Strong organizational and time management skills.
- The ability to meet demanding deadlines.
- The ability to be flexible in responsibilities, follow standards, and pivot day to day as needed to meet shifting needs.
Skills Required
- Minimum five years of administrative experience
- Proficiency in Microsoft 365/Office, including Word, Excel, and PowerPoint
- Bachelor's degree in Business Administration or a related discipline, or equivalent work experience
- Knowledge of the architecture and engineering industry
- Deltek Vision experience
- Strong organizational and time management skills
- Ability to meet demanding deadlines
- Flexibility to adapt responsibilities and shifting daily needs
