Job Summary:
The Administrative Assistant provides comprehensive administrative and office support to senior leadership, including the CEO, CDO, and designated members of the Sr Leadership team. This role serves as a critical partner to leadership by managing complex calendars, coordinating extensive domestic and international travel, preparing and processing expense reports, scheduling meetings, and ensuring seamless day-to-day administrative operations.
In addition to executive support, the Administrative Assistant serves as the primary front office representative, welcoming guests, vendors, candidates, and employees, and helping create a professional and positive workplace experience. The position also supports Office Services and People & Organization (P&O) activities, including vendor coordination, office operations, employee events, onboarding logistics, and general administrative processes that contribute to an efficient and engaging work environment.
The successful candidate will be highly organized, proactive, customer-service oriented, and capable of managing multiple priorities while maintaining a high degree of professionalism, discretion, and attention to detail. This position reports to the CEO.
The position is based in Downtown Houston with a hybrid work model of 3 days in the office and 2 days from home.
Key Areas of Responsibility:
Executive Administration
- Complex calendar management for Executive Directors and Senior Vice Presidents
- Extensive travel coordination, including domestic and international travel arrangements
- Expense report preparation, submission, and reconciliation
- Meeting scheduling, coordination, and logistics
- Preparation of presentations, reports, and administrative correspondence
- Special projects and executive support activities
Front Office & Reception
- Primary point of contact for visitors, guests, candidates, vendors, and employees
- Coordinate visitor access and meeting accommodation
- Manage reception and common office areas
- Provide a welcoming and professional office environment
Office Services
- Support vendor and building management coordination
- Office supply and inventory management
- Conference room and workplace coordination
- Support employee events, meetings, and office initiatives
People & Organization Support
- Assist with onboarding activities and new hire logistics
- Support employee engagement programs and events
- Provide administrative support for P&O initiatives and projects
Experience
- 5+ years of administrative experience supporting senior leaders in a corporate environment.
- Experience managing complex calendars, travel arrangements, and expense reports.
- Experience coordinating office operations, vendors, meetings, and workplace services.
- Experience supporting HR, People & Organization, or employee engagement activities preferred.
- Proficiency with Microsoft Office, Teams, SharePoint, and business systems such as SAP, Concur, or Workday preferred.
