POSITION SUMMARY

The Administrative Assistant provides support to the finance, accounting and some sales function. Supporting the BOM.


RESPONSIBILITIES include but are not limited to the following:

• Assist with accounts payable (A/P) and accounts receivable (A/R) process.

• Recording and processing invoices, bills, and payments.

• Establish and maintain ongoing procedures to

• Collect and review financial data necessary for billing and accounting support services, ensuring alignment with business performance goals, deadlines, and reporting requirements

• Reconciling financial statements and accounts.

  • Assist with new move ins and resident retention 

• Assist in preparing financial reporting and summaries.

• Maintain accurate financial records and documentation.

• Conduct data entry and administrative tasks related to accounting.

• Provide support at the front desk and assist the Sales team in generating new move-ins

• Maintain accurate employee personnel records, including payroll information, personnel files, and training documentation

• Ensure timely and accurate data entry related to employee training and compliance records

• Provide support during audits or financial reviews, as necessary.

Qualifications

QUALIFICATIONS

• Education & Experience:

o Must possess a minimum of a high school diploma or equivalent, associate degree or o higher in accounting, finance, or related field, preferred.

o Proficiency in using accounting software is highly desirable.

Business Office experience 


• Knowledge, Skills & Abilities:

o Understanding of basic accounting principles and concepts.

o Familiarity with financial regulations and compliance standards.

o Understanding of accounts payable/receivable process, reconciliations, and financial o reporting.

o Strong numerical aptitude, analytical and problem-solving skills.

o Exceptional communication skills in English, enabling effective interaction with residents and staff through both verbal and written means.

o Ability to work independently as well as collaboratively in a team environment.

o Excellent computer skills including a high degree of proficiency in Microsoft Word, Excel, Google, and accounting software.

o Ability to multi-task, prioritize and have excellent time management skills


• Standard Requirements:

o Must meet the assisted living requirements for criminal history screening.

o Must have sincere interest in providing quality and innovative care for seniors.

o Ability to understand the policies and procedures of the Community including emergency plans.

o Follow mandatory reporting requirements and Resident Rights.

o Ability to work as a team.

o Ability to maintain confidentiality at all times.

Skills Required

  • High school diploma or equivalent
  • Associate degree or higher in accounting, finance, or a related field
  • Business office experience
