We are seeking a highly organized, dependable, and detail-oriented Administrative Assistant to provide comprehensive administrative and clerical support to management, employees, customers, and various departments within the organization.

The Administrative Assistant will be responsible for managing schedules, coordinating meetings, preparing documents, maintaining records, handling communications, organizing files, processing information, and assisting with day-to-day office operations. The ideal candidate is professional, proactive, resourceful, and able to manage multiple priorities while maintaining accuracy and confidentiality.

Key Responsibilities
Provide day-to-day administrative and clerical support to managers, supervisors, and staff.
Answer and direct incoming phone calls, emails, and other communications.
Greet visitors, clients, vendors, and employees in a professional and courteous manner.
Manage calendars, appointments, meetings, and schedules.
Schedule meetings, conference calls, appointments, and other events.
Prepare meeting agendas, documents, presentations, and other materials.
Take meeting notes and distribute action items or follow-up information as needed.
Draft, proofread, format, and distribute emails, letters, reports, memos, and other business documents.
Maintain organized electronic and physical filing systems.
Enter, update, and maintain information in databases, spreadsheets, and company systems.
Process forms, invoices, purchase orders, expense reports, and other administrative documents.
Assist with ordering and maintaining office supplies and equipment.
Coordinate with vendors, service providers, and building management as needed.
Assist with travel arrangements, reservations, itineraries, and expense documentation.
Track deadlines, projects, appointments, and follow-up activities.
Prepare spreadsheets, reports, presentations, and correspondence.
Handle confidential company, employee, customer, and financial information appropriately.
Assist with onboarding new employees and preparing required paperwork or materials.
Support internal events, meetings, training sessions, and company activities.
Coordinate communication between departments when necessary.
Maintain accurate records and ensure documents are properly organized and accessible.
Assist with special projects and administrative tasks as assigned.
Identify opportunities to improve administrative processes and office efficiency.
Perform other duties as assigned by management.
Office Management Responsibilities
Maintain a clean, organized, and professional office environment.
Monitor office supplies and place orders when inventory is low.
Coordinate repairs, maintenance, and office services.
Maintain office calendars and shared resources.
Assist with mail, shipping, deliveries, and document distribution.
Maintain contact lists, directories, and administrative records.
Coordinate office visitors and building access when applicable.
Communication Responsibilities
Respond to routine inquiries from employees, customers, vendors, and other contacts.
Provide accurate information or direct questions to the appropriate department.
Maintain professional communication through phone, email, and in-person interactions.
Follow up on outstanding requests and administrative tasks.
Communicate important information and deadlines to appropriate team members.
Maintain a professional and customer-focused attitude.
Data Entry and Recordkeeping
Enter information accurately into spreadsheets, databases, CRM systems, and other software.
Review documents for errors, missing information, or inconsistencies.
Update employee, customer, vendor, and company records.
Maintain accurate electronic and paper files.
Scan, copy, organize, and archive documents.
Retrieve information and records when requested by authorized personnel.
Ensure confidential documents are stored securely.
Required Qualifications
High school diploma or equivalent required.
Previous administrative, clerical, office, customer service, or related experience preferred.
Strong written and verbal communication skills.
Excellent organizational and time-management abilities.
Strong attention to detail and accuracy.
Ability to manage multiple tasks and competing priorities.
Professional phone and email etiquette.
Strong computer and keyboarding skills.
