We are looking for a proactive and highly organized Administrative Assistant to support the VP & GM, High Performance Americas and help keep the broader team running smoothly. This role is a strong fit for someone who enjoys being a trusted partner to leadership, can quickly understand priorities, and takes ownership without needing constant direction.
You’ll manage a mix of executive support, business coordination, site administration, purchasing, and event planning. Just as important, you’ll help keep deadlines and follow-up items moving, prepare polished presentations and business materials, and use good judgment to determine what needs immediate attention and what can wait.
This position is based in Allentown, PA and is expected to work onsite approximately four days per week.
RESPONSIBILITIES
Provide direct administrative support to the VP & GM, High Performance Americas, including calendar management, meeting coordination, travel arrangements, Outlook support, and preparation of presentations, spreadsheets, organizational charts, reports, and other business materials.
Help track important deadlines and follow up with team members on outstanding actions and requested information.
Act as a trusted point of coordination for leadership. Help manage competing requests, protect leadership time, recognize changing priorities, and professionally redirect requests when appropriate. Handle confidential and sensitive information with a high level of discretion.
Support the High Performance Americas organization and Allentown site with visitor coordination, meetings, onboarding and offboarding activities, employee and contractor support, customer communications, mail and packages, and other day-to-day administrative needs.
Coordinate purchasing and supply activities for employees in Allentown and throughout the region. Support invoice processing, goods receipts, purchasing transactions, and troubleshooting using systems such as Ariba, SAP, Concur, Invoice Payment, Procurement Card, and related tools.
Plan and coordinate customer meetings, workshops, training sessions, team-building activities, and other internal and external events. Manage logistics including meeting space, catering, audio/visual needs, invitations, RSVPs, transportation, accommodations, and supplies.
Maintain regional contract information for the High Performance and Coating Additives businesses, including contract entries and expiration tracking. Partner with other Administrative Assistants and provide additional leadership or site support when business priorities require it.
REQUIREMENTS
Previous administrative or executive support experience in a corporate environment, ideally supporting senior leadership (5-10 years experience preferred).
The ability to learn quickly, take initiative, and operate independently is more important than a specific number of years.
Associate’s or Bachelor’s degree preferred, or an equivalent combination of education and experience.
Strong PowerPoint and Excel skills, along with proficiency in Outlook, Word, Teams, and SharePoint.
Comfortable learning new technology and business systems. Experience with SAP, Ariba, Concur, Workday, or similar tools is helpful but not required.
Excellent organization and follow-through, with the ability to manage multiple priorities and meet deadlines without frequent reminders.
Strong judgment and problem-solving skills, including the ability to recognize what is urgent, what can wait, and when additional clarification is needed.
Professional and confident communication skills, including the ability to tactfully push back or redirect requests when appropriate.
A proactive, service-minded approach with the ability to anticipate needs and take ownership of assignments.
Strong discretion when working with confidential business and employee information.
Ability to work effectively with colleagues and leaders across different functions, cultures, and global locations.
