Administrative Assistant
Overview
The team is looking for an Administrative Assistant to perform general administrative duties to support day-to-day Marketing Services department operations in such areas as scheduling of meetings, expense reporting, calendar management. The resourche will support marketing communications planning and execution in the projects. The ideal candidate is passionate about the customer experience journey, highly motivated, and intellectually curious.
Role• Supporting marketing campaigns, managing operations with creative and Marketing services teams.• Coordinate third party agency communications such ad media agency or other marketing agencies.• Manage the calendars, taking into consideration the different time zones • Organise client and internal team meetings, prepare agenda / taking of minutes • Liaise with IT to ensure that technical requirements of meetings are taken care of (e.g. laptop for group webinars, presentations, videoconference)• Coordinate travel arrangements (hotel bookings, visas, invitation letters, booking of airport transfers and ground transportation, etc,)• Assist and coordinate travel arrangements for incoming visitors for the relevant department and assisting guests in obtaining entry visas• Complete Expense Reports (Travel and Entertainment) according to policies.• Greet and assist visitors for the team• Manage and cooordinate team events and meetings (Workshops, Conferences, Seminars, etc,)• Serve as administrative liaison to others within and outside the company
All About You• College degree • Administrative experience in a corporate environment• Proven ability to liaise with internal and external customers• Strong Microsoft Office Suite skills, particularly PowerPoint• Excellent oral and written communication in English• Strong team player, decisive and results driven, with high energy levels and initiative
