Job Summary:
The Administrative Assistant provides administrative and organizational support to ensure the efficient operation of the front office & support to HR. This position handles daily office tasks, schedules appointments, maintains records, communicates with clients and staff, and assists management with various administrative duties.

Qualifications

Key Responsibilities:

  • Answer phone calls, emails, and general inquiries professionally.
  • Schedule meetings, appointments, and manage calendars.
  • Prepare, organize, and maintain documents, records, and reports.
  • Perform data entry and maintain accurate databases and filing systems.
  • Coordinate office supplies, equipment, and general office needs.
  • Assist with correspondence, presentations, spreadsheets, and other documents.
  • Assist new employees with the onboarding process and schedule onboarding training
  • Assist with some timekeeping and attendance items
  • Welcome visitors and provide customer service as needed.
  • Process invoices or other administrative paperwork.
  • Coordinate meetings, travel arrangements, and office events when required.
  • Help coordinate employee meetings, training sessions, and HR events including monthly Perfect Attendance plans
  • Support managers and team members with day-to-day administrative tasks.
  • Maintain confidentiality of company and employee information.
  • Maintain petty cash and monthly reporting
  • Maintain and manage employee reward program
  • Perform other duties as assigned.

Qualifications & Education:

  • High school diploma or equivalent; associate degree preferred.
  • Previous administrative or office experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, Google Workspace, or similar software.
  • Ability to multitask and prioritize competing responsibilities.
  • Strong attention to detail and accuracy.
  • Professional, dependable, and customer-service oriented.
