We are seeking a highly organized and professional Administrative Assistant to support the daily operations of the TMI
The successful candidate will provide administrative, clerical, and coordination support while ensuring accurate documentation, effective communication, timely follow-up, and professional service to students, faculty, staff, and external stakeholders.
- Perform daily administrative duties, including filing, data entry, document preparation, and maintaining organized office records.
- Draft, edit, proofread, and prepare professional emails, reports, memos, letters, and official correspondence.
- Manage calendars, appointments, schedules, and departmental meetings.
- Prepare meeting agendas, record minutes, and follow up on assigned action items.
- Coordinate logistics for meetings, workshops, training sessions, and institutional activities.
- Handle incoming and outgoing emails, calls, and inquiries professionally and efficiently.
- Serve as a point of contact for students, faculty, visitors, and external stakeholders, providing appropriate information and support.
- Maintain accurate and confidential physical and electronic records.
- Support departmental coordination and follow up with relevant internal departments when required.
- Assist with general administrative requirements and ensure assigned tasks are completed accurately and on time.
- Use Microsoft Office and other institutional systems for documentation, scheduling, tracking, and communication.
- Handle sensitive and confidential information with discretion.
- Support colleagues and participate in departmental activities as required.
- Perform other administrative duties as assigned.
Requirements
- Bachelor’s degree in Business Administration, Management, or a related field.
- 1–3 years of administrative or clerical experience, preferably within an academic, training, or healthcare environment.
- Excellent written and verbal communication skills in Arabic and English.
- Strong organizational and time-management skills.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office and office management applications.
- Ability to manage multiple tasks and priorities efficiently.
- Strong interpersonal and customer-service skills.
- Good problem-solving and coordination abilities.
- Ability to maintain confidentiality and exercise professional judgment.
- Reliable, adaptable, proactive, and service-oriented.
Skills Required
