The Administrative Assistant provides on-site administrative and clerical support to administrative staff and leadership at the assigned partnering facility. Working under the direction of the administrative staff member(s) to whom they are assigned, the Administrative Assistant helps keep daily operations organized and running smoothly through scheduling, documentation, correspondence, and general office support.
The Administrative Assistant may support one or more members of administrative staff and is expected to handle confidential information with discretion, prioritize competing tasks, and complete any additional duties assigned. This is a fully on-site, in-person position located at the assigned facility; remote work is not available.
Qualifications- Provide administrative and clerical support to assigned administrative staff and facility leadership.
- Manage calendars, schedule meetings and appointments, and coordinate logistics as directed.
- Prepare, format, and proofread correspondence, memos, reports, and other documents.
- Answer and route phone calls, emails, and inquiries professionally and promptly.
- Maintain organized physical and electronic filing systems and ensure records are accurate and current.
- Assist with data entry, recordkeeping, and the preparation of spreadsheets and reports.
- Coordinate meeting materials, take notes or minutes, and follow up on action items as requested.
- Order and maintain office supplies and assist with general office organization.
- Handle confidential and sensitive information with discretion and in compliance with applicable policies.
- Complete any additional administrative duties assigned by the administrative staff or facility leadership.
