Administrative Assistant

Location: U.S. Attorney's Office (USAO), Northern District of Mississippi – Oxford, MS
Work Schedule: Full-Time | Monday–Friday | 8:00 AM – 5:00 PM CT
Work Arrangement: Onsite
Travel: Local travel within a 50-mile radius may be required. Overtime and overnight travel may be authorized only with prior Government approval.

Position Overview

Crossroads Talent Solutions is seeking a detail-oriented and highly organized Administrative Assistant to support the United States Attorney's Office (USAO), Northern District of Mississippi in Oxford, Mississippi. This position provides critical administrative and clerical support to ensure the efficient operation of the office while assisting attorneys and support staff with case management, document processing, visitor management, and records administration.

The ideal candidate is an experienced administrative professional with exceptional organizational skills, strong attention to detail, and the ability to handle sensitive and confidential information in a fast-paced federal environment. This position requires accuracy, professionalism, and the ability to manage multiple priorities while supporting the mission of the Department of Justice.

Key Responsibilities

The Administrative Assistant will perform a variety of administrative and operational duties, including but not limited to:

  • Answer, screen, and route incoming telephone calls while providing professional customer service to visitors and staff.
  • Welcome visitors, issue visitor badges, maintain visitor logs, and ensure compliance with federal security procedures.
  • Receive, date stamp, sort, log, and distribute incoming mail and packages.
  • Prepare and process outgoing correspondence, certified mail, and light shipments.
  • Operate standard office equipment including multi-line telephone systems, copiers, scanners, fax machines, mailing equipment, security systems, and Microsoft Office applications.
  • Generate forms, letters, reports, and other documents using established templates.
  • Perform data entry, create and maintain electronic and paper filing systems, and coordinate records retention, destruction, and archiving.
  • Reserve conference rooms and government vehicles using online scheduling systems.
  • Organize workload efficiently while managing assignments consisting of multiple tasks and varying priorities.
  • Open civil and criminal cases based on authorized documentation and distribute new case notifications to appropriate personnel.
  • Enter, update, and maintain case information within the USAO CaseView case management system.
  • Open and close case files, appellate matters, and declinations while maintaining accurate case records.
  • Verify the accuracy of information entered into government databases through quality control reviews and validation procedures.
  • Identify, investigate, and correct data discrepancies and inconsistencies.
  • Maintain strict confidentiality when handling Privacy Act protected information, court records, and sensitive government information.
  • Maintain detailed logs documenting data entry activities and updates.
  • Electronically file court documents through federal electronic filing systems and various online portals.
  • Organize, manage, and maintain electronic case files using secure document management and cloud-based storage systems with proper version control.
  • Provide general administrative support to attorneys, legal staff, and office leadership as assigned.
  • Perform additional related administrative duties as directed by the Government.
Required Qualifications
  • High school diploma or equivalent required.
  • Some college coursework or an associate or bachelor's degree is preferred.
  • Demonstrated administrative or office support experience in a professional environment.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Experience with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Ability to accurately enter and manage data while maintaining exceptional attention to detail.
  • Experience maintaining confidential records and handling sensitive information.
  • Ability to work independently while meeting deadlines and maintaining high levels of accuracy.
  • Strong customer service and interpersonal skills.
  • U.S. Citizenship required.
  • Ability to successfully obtain and maintain a DOJ Public Trust Security Clearance.
Preferred Qualifications

Preference may be given to candidates with experience in:

  • Federal government offices
  • Department of Justice or court environments
  • Case management systems
  • Electronic court filing (CM/ECF or similar systems)
  • Legal administrative support
  • Records and document management
  • Mailroom or administrative operations supporting legal organizations

    • Successfully complete and maintain a DOJ Public Trust background investigation.
    • Handle sensitive government information in accordance with DOJ privacy, records management, and security policies.
