What You’ll Do
As an Administrative Assistant, you will work alongside other administrative professionals to provide comprehensive support throughout the organization. Responsibilities include:
- Providing administrative and clerical support to leadership, executive assistants, and other team members.
- Preparing and managing correspondence, reports, presentations, and other documents with a high level of accuracy.
- Assisting with calendars, meetings, conference rooms, office events, and related scheduling needs.
- Maintaining office equipment and assisting employees with postage meters, copiers, printers, and other office tools.
- Establishing and maintaining organized electronic and paper filing systems.
- Coordinating organizational mailings, including folding, stuffing, labeling, posting, and maintaining mailing lists.
- Proofreading documents for grammar, punctuation, formatting, consistency, and accuracy.
- Providing reception and front-desk coverage
- Assisting with clerical and administrative projects for departments throughout the organization.
- Monitoring assigned responsibilities and following through on tasks without the need for repeated reminders.
- Responding professionally and promptly to requests from internal and external customers.
- Working collaboratively with other administrative assistants to ensure continuous office support and coverage.

Experience
- Minimum of two years of administrative assistant or related office experience.

- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Mail Merge.
- Ability to prepare professional letters, reports, spreadsheets, and presentations.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Typing speed of at least 40 words per minute.
- Proficiency with standard office equipment and administrative processes.
- Strong organizational, prioritization, and time-management skills.

In-Office and Attendance Expectations
This position is performed on-site at LifeShare Network’s Oklahoma City office and is not a remote or hybrid role.
The Administrative Assistant is an integral part of daily office operations. Consistent, reliable, and punctual attendance is an essential function of the position because the role provides time-sensitive support, reception coverage, document preparation, mail processing, meeting coordination, and assistance to employees and leaders throughout the workday.
The successful candidate must be available and present during established working hours and able to provide dependable coverage based on organizational needs.
