We are seeking a highly organized and detail-oriented Administrative Assistant to support our day-to-day office operations. This role is ideal for someone who enjoys wearing multiple hats and thrives in a fast-paced environment. This position requires working in office in Richmond, VA, Monday – Friday 7am-4pm.
What you'll do:
- Answer and direct incoming phone calls and greet visitors professionally
- Manage office correspondence, filing, and document organization
- Schedule meetings, maintain calendars, and coordinate travel arrangements as needed
- Order office supplies and ensure the office remains organized and well-stocked
- Prepare reports, spreadsheets, presentations, and other business documents
- Support leadership with various administrative projects and special assignment
- Use company vehicles on occasion to deliver parts to customers
- Reviewing hours submitted by employees
- Coordinate with managers to resolve timesheet discrepancies
- Enter job cost data into the accounting system and ensure accuracy
- Support invoicing, purchase orders, and vendor documentation

What you bring:
- High school diploma or equivalent required
- 2+ years of administrative experience, preferably in construction, manufacturing, industrial services, or a project-based environment
- Valid driver’s license
- Proficiency with Microsoft Office Suite, particularly Excel
- Strong organizational, time management, and multitasking skills
- Excellent verbal and written communication skills
- High attention to detail and ability to maintain confidentiality
- Team-oriented with a positive, customer-service mindset
- A proactive attitude and willingness to jump in wherever needed
- The ability to build positive relationships across all levels of the organization
- Ability to work onsite 7am to 4pm
- Associate's degree
- Experience with accounting software. Foundations is a plus
- Experience with job costing or project accounting
- Experience with timesheet management programs

Compensation:
- $20-25 per hour
- Pay will depend on education, experience, skills, and location. The posted range reflects our current expectations but may change.
