Job Summary

The Administrative Assistant will provide administrative support to our Interiors Business Unit leads.  In addition to general administrative responsibilities, this individual will take part in various ad hoc tasks and projects included below.


Primary Responsibilities

  • Provide direct administrative support, including email correspondence, and generation and distribution of memos, letters, spreadsheets, and forms.
  • Provide extensive calendar management utilizing Outlook for client calls, meetings, events, and personal appointments.
  • Schedule and coordinate onsite and offsite meetings and logistics for a variety of purposes including executive & client meetings, external visitors, and candidate visits/interviews.
  • Communicate with subcontractors, vendors, and clients as needed.
  • Assist in the maintenance of departmental workload reports and identify estimating candidates for new projects.
  • Prepare materials for onsite and offsite meetings.
  • Proofread and check necessary documents for accuracy, completeness, and compliance with company standards.
  • Coordinate, prepare, and reconcile expenses via Concur.
  • Handle details, access to information and conversations of a highly sensitive nature in strict confidence.
  • Assist on ad-hoc assignments as needed.

Qualifications

  • Experience in an administrative support role in a fast-paced office setting is ideal
  • Excellent organization and attention to detail skills
  • Strong written and verbal communication skills
  • Adaptability in a fast-paced and ever-changing environment

Computer Systems

  • Microsoft Office (Word, PowerPoint, Excel, and Outlook), Adobe Acrobat, and Concur (preferred but not required)

 Salary Information

  • To the extent this position is performed in New York City, the annual salary range for this role is $70,000 - $90,000.
