To support our extraordinary teams who build great products and contribute to our growth, we’re looking to add an Administrative Assistant located in Austin, TX (Corporate HQ).
Reporting to the Chief of Staff, Power Management Team, the Administrative Assistant’s role provides day-to-day administrative, operational, and project support to leadership and cross-functional teams. This role partners closely with the Chief of Staff to ensure seamless execution across scheduling, travel, communications, and team operations.
This position is ideal for an early-career professional looking to build strong business, organizational, and stakeholder management skills in a fast-paced environment.
What a typical day looks like:
- Calendar & Meeting Management: Coordinate complex global calendars, town halls, and internal/external meetings (customers/vendors). Prepare agendas, gather materials, capture meeting notes, track action items, and manage event logistics (e.g., lunches, dinners, site tours).
- Travel & Expense Management: Book global travel in compliance with corporate policy, factoring in costs, documentation, and visa requirements. Process timely expense reports and manage corporate credit card reconciliation.
- Team & Project Operations: Act as the primary point of contact for team inquiries. Track PTO, deliverables, and project deadlines. Proactively send reminders and assist with team communications.
- Office & Administrative Support: Manage general office needs, supply inventory, and employee onboarding logistics. Handle other ad-hoc administrative and project duties as assigned.
The experience we’re looking to add to our team:
- Bachelors degree or work experience in lieu of education plus 2–5 years of experience in administrative, operations, or coordination roles
- Strong organizational, time management and excellent communication skills (written and verbal)
- Proficiency in Microsoft Office (Outlook, Teams, Excel, PowerPoint), Zoom, and AI tools a plus!
- Attention to detail, execution excellence and ability to manage multiple priorities in a fast-paced environment
- Problem-solving, adaptability, and professionalism
- Ability to prioritize and anticipate needs, stakeholder management and collaborative team mindset
