The Administrative Assistant, under minimal supervision and with a considerable degree of initiative, will provide administrative support while performing a wide range of administrative activities and tasks.

This individual will ensure the administrative activities and tasks are performed in a timely manner and are often of a confidential or sensitive nature. They will handle complex assignments using independent judgment facilitating effective and efficient flow and processing of information and work associated with day-to-day operations as assigned. 

Duties may include preparation of proposals, reports, presentations, scheduling of meetings, arrangements of conferences and onsite visits, preparing foreign and domestic travel arrangements, and other duties as assigned.

Position Requirements

  • Comprehensive knowledge of administrative support and office practices.

  • Strong verbal and written communication skills and ability to communicate with all levels of staff.

  • Good interpersonal skills and ability to interact diplomatically and tactfully with people at all levels both within and outside the laboratory.

  • Ability to think quickly when managing difficult situations.

  • Strong organizational and time management skills including the ability to prioritize, organize and handle multiple assignments simultaneously in a fast-paced environment, while being detail oriented and using sound independent judgment to accomplish tasks.

  • Knowledge, skills, and experience, including using advanced features in editing documents, with Microsoft Office Suite (Word, Excel, and PowerPoint) and Adobe Acrobat.

  • Skills in arranging and coordinating meetings, workshops, conferences onsite visits, and both managing domestic and international travel.

  • Knowledge of Laboratory and Division policies, practices, and procedures is desirable.

  • Knowledge of Laboratory systems such as AMOS and PARIS for procurement, XINK for business forms, XM system for travel/reimbursement, and meeting/conference arrangements is a plus.

This position requires a hybrid schedule, blending on-site and remote work; on-site presence will be required at the Argonne campus in Lemont, Illinois 3-4 days each week.

The selected individual will be placed at the appropriate level (SA2 or SA3) depending upon depth and breadth of relevant knowledge, skills, and experience brought to the position. The requirements for the desired levels are as follows:

  • SA2: High school diploma & 4+ years of relevant experience or equivalent. The expected pay range for this position is $20.78 - $32.41.

  • SA3: High school diploma & 8+ years of relevant experience or equivalent. The expected pay range for this position is $25.59 - $39.92.
