Northrop Grumman’s Space Sector is seeking an Administrative Assistant to VP - Level 5 to join our team in Huntsville, AL. This position is 100% onsite and cannot accommodate telecommute work.


Position Overview:


The Administrative Assistant will support the VP of Missile Defense Integration Business Unit.  The position requires a self-motivated professional who will provide high-level administrative and operational support to the Space Systems Sector VP of Missile Defense Integration and the broader leadership team. This role manages complex calendars, coordinates senior-level meetings and events, prepares executive-level communications and presentations, and serves as a key point of contact for internal and external stakeholders. The ideal candidate is proactive, highly organized, exercises sound judgment in an ambiguous environment, an experienced traveler or executive travel planner and can effectively manage multiple priorities in a fast-paced environment while maintaining strict confidentiality. 


In this job, you will:

  • Manage complex calendars, including scheduling meetings, resolving conflicts, and ensuring appropriate preparation time and materials for the executive.
  • Coordinate domestic and international travel arrangements, including itineraries, transportation, lodging, and changes as needed.
  • Plan and support leadership meetings, town halls, and other events (agenda development, materials preparation, logistics, minutes, and follow-up actions).
  • Prepare, edit, and format correspondence, reports, presentations, and other executive-level documents with a high degree of accuracy and professionalism.
  • Screen, prioritize, and route incoming emails, calls, and requests; respond on behalf of the executive where appropriate and escalate issues as needed. 
  • Process and reconcile expense reports, purchasing requests, and other administrative transactions in accordance with company procedures.
  • Maintain organized files and records (electronic and paper) to ensure easy retrieval and compliance with records-management requirements.
  • Build and maintain effective working relationships with internal partners and external stakeholders, representing the executive with professionalism and discretion.
  • Handle sensitive and confidential information with the highest level of integrity and judgment.
  • Anticipate executive needs; demonstrated ability to solve complex operational bottlenecks independently.
  • Support special projects and ad-hoc assignments as requested by the executive or HR/leadership.

Basic Qualifications:

  • High School diploma or equivalent and 8 years additional education and/or related experience.
  • Must have the ability to obtain and maintain a U.S. Government Secret security clearance
  • Demonstrated proficiency with Microsoft 365 (Outlook, Word, PowerPoint, Excel, Teams) and virtual meeting platforms.
  • Proven experience managing complex calendars, travel arrangements, and meeting logistics.
  • Strong written and verbal communication skills, with the ability to draft and edit professional correspondence and presentations while acting as an effective gatekeeper and liaison.
  • Excellent organizational skills and attention to detail; able to prioritize and manage multiple tasks with competing deadlines.
  • Demonstrated ability to exercise discretion and maintain confidentiality.
  • Strong interpersonal skills and customer-service orientation, with the ability to work effectively across all levels of the organization.

 Preferred Qualifications:  

  • High School diploma/GED with a minimum of 10 years related work experience, including a minimum of 6 years of experience supporting senior leadership
  • Experience supporting C‑suite or VP-level leaders in a large, matrixed organization.
  • Familiarity with Workday and Concur.
  • Experience coordinating large meetings, offsites, or events.

Primary Level Salary Range: $75,500.00 - $125,900.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
