AMS | Association Management Services NW is one of the fastest-growing HOA management companies in the Pacific Northwest. We're looking for an Administrative Assistant to join our Vancouver team and support the day-to-day operations of our community associations.

This is a great opportunity for someone who is organized, detail-oriented, comfortable working with people, and interested in building a long-term career. HOA experience is a plus, but it is not required.

What You'll Do
  • Keep projects organized and communication flowing between vendors, homeowners, and board members
  • Prepare and distribute correspondence, newsletters, reports, and email communications
  • Proofread, edit, and process association documents
  • Maintain accurate digital files, databases, and records
  • Assist with collecting vendor bids and creating work orders
  • Coordinate meeting logistics and attend virtual or in-person board meetings as needed
  • Track and follow up on maintenance, compliance, and other community items
  • Maintain community websites and keep information up to date
  • Respond to homeowner, vendor, and board inquiries professionally and in a timely manner
  • Assist with a variety of administrative and project coordination tasks
What We're Looking For
  • At least 1 year of administrative or project coordination experience
  • Strong attention to detail and excellent organizational skills
  • Ability to manage multiple priorities and meet deadlines
  • Strong written and verbal communication skills
  • Comfortable working in a fast-paced, people-facing environment
  • Proficiency with Microsoft Word, Excel, and Outlook
  • Comfortable learning new software and technology
  • HOA or property management experience is a plus, but not required
