Westdale is looking for a professional, organized and detail-oriented Administrative Assistant to assist our corporate team in our office in Dallas at The Epic. This is an entry-level administrative position and a great opportunity for someone who wants exposure to the Information Technology and Marketing sides of a large, national real estate organization. You won't be limited to one narrow area. You'll work alongside our teams and gain hands-on experience with business systems, vendors, purchasing, financial processes, reporting and projects that support Westdale's operations across the country. If you're organized, comfortable with technology, good with numbers and spreadsheets, and interested in learning how a modern business operates behind the scenes, we'd love to hear from you.
Position Requirements
- Excellent administrative and business skills including organization, time management, communication, attention to detail and problem solving.
- Proven intermediate level experience using Microsoft productivity software including Word, Excel, Outlook, and Teams.
- Ability to learn and become comfortalbe with new software quickly.
- Business related degree or college classes helpful.
- Ability to work 40 hours a week in the office during normal business hours (Monday-Friday, 8:30 am-5:30 pm). Commuting to our office is required. This is 100% on-site. There is no remote or hybrid option.

Position Duties
- Manage and enter department invoices and billbacks
- Assist with vendor relationships, communication and coordination
- Support vendor procurement and purchasing for technology and marketing products and services.
- Perform system configuration and data entry within Marketing and IT platforms
- Assist team members with projects, timelines and follow-ups
- Manage credit card receipt reconciliation for Marketing and Technology expenses
- Collect, organize and review data used in departmental reporting
- Help prepare recurring reports, including:
- Monthly Marketing Reports
- Monthly Reputation Review Reports
- Monthly Service Desk Reports
- Monthly Marketing Spend Reports
- Annual Marketing ROI Reports and Budgets
- Quarterly IT General Controls (ITGC) Reports
- Assist with other Marketing and Technology initiatives as you grow into the position.
