- Keeps reception area clean and tidy
- Prepares refreshments for Guests
- Collects mail from the P.O. Box and distributes mail to the relevant people
- Answers calls and directs to the concerned person or takes a message and relays to the relevant person
- Monitoring and ordering of pantry and office supplies
- To support client activities and requirements in a proactive manner, liaising with clients e.g. take messages, pass on information, deal with simple queries, meet and greet and client events.
- To pro-actively manage diaries, co-ordinate and schedule meetings, reserve conference rooms, and set up conference calls.
- Manage client contacts, inbox for Bankers.
- Photocopy and scan documents
- To make travel arrangements; book flights, ground transportation, lodging and entertainment for business travel (domestic & international), prepare itineraries for business travel, visas etc.
- Using Concur, to process and monitor expenses to ensure prompt payment and reconcile with AMEX statement.
- Any other duties or special projects as requested by Office Manager, and/or Bankers.
- Proficient in all software packages (Word, Excel, PowerPoint)
- Previous professional services sector experience / background
- High level organisational skills
- Excellent communicate skills, both written and verbal
- Previous experience working in a fast-paced environment
- Strong attention to detail
