Quality Equipment Financea Tom Wood Group business, located in Carmel, Indiana is looking for an organized and detail oriented Administrative Assistant to support our team. You will be the first point of contact for our customers and play a vital role in supporting various administrative functions.  

Responsibilities: 

  • Serving as the first point of contact for customers via phone 

  • Assisting customers with account questions, updates, and transferring them to the appropriate department 

  • Maintaining and stocking office, kitchen, and bathroom supplies while ensuring a clean and organized office environment 

  • Combining and organizing files within Adobe Acrobat 

  • Managing and updating the company’s shared calendar 

  • Handling shipments through FedEx, UPS, and USPS 

  • Receiving and distributing incoming mail to the appropriate department or personnel 

  • Providing assistance to all departments and personnel with projects and various administrative tasks 

Qualifications: 

  • Problem-solving and the ability to handle a variety of customer situations efficiently 

  • Multitasking skills to manage several responsibilities at once 

  • Strong sense of timeliness and ability to meet deadlines 

  • Excellent organizational skills and attention to detail 

  • Self-starter with the ability to work independently and proactively 

  • Comfortable in Microsoft Excel and other Microsoft Office products 

  • Strong written and verbal communication skills with the ability to interact with customers, vendors, and team members effectively 

  • Professional phone etiquette with a customer-focused approach, assisting with inquiries and connecting them with the appropriate departments 

  • Collaborative mindset with the ability to work well with various departments and team members 

  • Prior experience in an administrative or office support role is preferred but not required
