Job Description

Position Overview

The Administrative Assistant will provide administrative support to the Executive Vice President of Project Management. The Administrative Assistant also serves as a liaison to senior management teams and provides overall support to calendar scheduling, expense reports and any other additional administrative activities needed to support the EVP and Project Management team. The ideal individual will have the ability to exercise good judgment with strong written/verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. 

Responsibilities

  • Support calendar/event scheduling which includes but is not limited to coordinating events, coordinating vendor lunch & learns, scheduling meetings, organizing attendees, taking meeting minutes, overseeing travel arrangements

  • Anticipate needs of the project management/controls and resolve operational and administrative issues before they arise

  • Actively manage the creation of Purchase Requisitions for the Project Managers, ensuring thorough communication with vendors and on-time payments to maintain project deadlines

  • Ability to utilize and leverage technology to perform responsibilities, including a commitment to maintaining electronic records and other digital mediums (Teams, SharePoint, ProjectTeam, DocuSign, Document Controls Systems etc.), and taking meeting notes

  • Willingness to assist with booking travel arrangements for the Project Management/Controls teams

  • Expense reports and travel for Project Management Leadership Team

Minimum Qualifications

  • 2+ years of related experience required in working in an administrative support role.

  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)

  • Demonstrated ability and temperament to work with sensitive information.

  • Ability to work onsite in Chicago (1 S. Wacker office)

  • Eligible to work in the United States without the need for employer visa sponsorship now or in the future.

Preferred Qualifications

  • Bachelor's degree

  • Experience with Oracle and DocuSign a plus

  • Ability to function well in a high-paced environment; proven ability to meet deadlines.

  • Excellent communication and time management skills, with the ability to interact with people of all levels in a confident, professional manner.

  • Have team-oriented experience and approach.

  • Interacts positively and professionally with all position levels within the company and exhibits sound judgement on the ability to make reasonable decisions in the absence of direction

  • Self-directed, reliable, and independent when necessary to complete projects with limited supervision
