In dieser Funktion unterstützen Sie hauptsächlich den Vice President European Operations. Sie sorgen dafür, dass das Geschäft reibungslos läuft und dass Reisen, Ausgaben und Veranstaltungen effizient und korrekt geplant und umgesetzt werden. In this role you are mainly supporting the Vice President European Operations. You ensure that the business runs smoothly and that travel, expenses and events are efficiently and correctly managed. Job Description

DEUTSCH:

  • Koordinierung des Kalenders des Vizepräsidenten einschl. Planung aller anfallenden Meetings
  • Verfolgung von Aufgaben und Einhaltung von Fristen für den Vizepräsidenten, für andere Top-Führungskräfte aus seinem Team sowie für sich selbst
  • Wöchentliche Aktualisierung des Terminkalenders des Vizepräsidenten zur Übersicht für den CEO in Detroit, USA (z. B. 5-Wochen-Kalender in Excel)
  • Erstellung und Koordinierung von PowerPoint-Präsentationen für verschiedene Aktivitäten (u. a. Betriebsbesprechungen, strategische Offsite-Präsentationen und Präsentationen für die Geschäftsführung sowie andere spezielle Anfragen)
  • Verarbeitung von Daten in Excel-Tabellen und Ausarbeitung von regelmäßigen und Ad-hoc-Berichten
  • Koordinierung aller Reisepläne und -termine für den Vizepräsidenten einschließlich ITR und weitere 3-4 Top-Führungskräfte seines Teams
  • Erstellung von Spesenabrechnungen für den Vizepräsidenten und einige wichtige Mitglieder des Führungsteams
  • Unterstützung / Abwesenheitsvertretung für andere Assistenten in der Einrichtung
  • alle anderen zugewiesenen Aufgaben

ENGLISH:

  • Coordinate the Vice President’s calendar, schedule all meeting is requested
  • Track tasks, meet deadlines for the Vice President, other key leaders and yourself
  • Provide weekly updates of the Vice President’s upcoming schedule to the CEO office in Detroit (e.g. 5-week executive calendar in Excel)
  • Create and coordinate PowerPoint presentations for various activities (including operations reviews, strategic offsite and executive leadership presentations as well as other special requests)
  • Process data in excel sheets and work on regular and ad hoc reports
  • Coordinate all travel plans and schedules for the Vice President incl. ITR and another 3-4 key leaders
  • Perform expense reports for the Vice President and some key leadership team members
  • Back-up / absence replacement for other assistant in the facility
  • All other duties as assigned

Required Skills and Education

DEUTSCH:

  • Erfolgreich abgeschlossene kaufmännische Ausbildung oder vergleichbare Qualifikation (z. B. Bürokaufmann/-frau, Betriebswirt/in)
  • Mindestens 3-5 Jahre Berufserfahrung in einer ähnlichen Funktion
  • Erfahrung in einem schnelllebigen, dynamischen Umfeld - entweder in der Automobilbranche oder in einem Bereich wie Private Equity, Eventmanagement oder Hospitality
  • Berufserfahrung in einem interkulturellen Umfeld
  • Eigeninitiative, Antizipieren das anstehende Arbeitspensums, selbstständige und proaktive Arbeitwsweise
  • Ausgezeichnete Planungs- und Organisationskompetenz mit einem Auge für Genauigkeit in allen Tätigkeitsbereichen
  • Ausgeprägte zwischenmenschliche Fähigkeiten und Kommunikationskompetenz, methodische Arbeitsweise, Fähigkeit mit wechselnden Prioritäten umzugehen
  • Vertraulichkeit, Diplomatie und Dienstleistungsorientierung,
  • Sehr gute und fortgeschrittene Anwenderkenntnisse in MS Office - insbesondere Excel, PowerPoint und Outlook
  • Fließende Deutsch- und Englischkenntnisse in Wort und Schrift, die in einem geschäftlichen Kontext erworben und regelmäßig geübt wurden; eine weitere europäische Sprache ist willkommen

ENGLISH:

  • Successfully completed commercial apprenticeship or comparable qualification (e.g. Office Management Assistant, Business Administrator)
  • At least 3-5 years’ professional work experience in a similar role
  • Experience in a fast-moving, dynamic environment – either in an automotive environment or an area such as private equity, event management or hospitality
  • Professional experience in an intercultural environment
  • Ability to show initiative, anticipate the upcoming workload, be a self-starter, pro-active working attitude
  • Excellent planning and organization competence with an eye for accuracy in all areas of activity
  • Strong interpersonal skills and communication competence, methodical way of working, dealing with changing priorities,
  • Confidentiality, diplomacy, and service orientation,
  • Very good and advanced user skills in MS Office – especially Excel, PowerPoint and Outlook
  • Fluent German and English written and spoken language skills gained and regularly practiced in a business context, another European language would be a benefit
