The UCF School of Data, Mathematical, and Statistical Sciences (SDMSS), instructs students in a wide variety of methods for collection, analysis, interpretation, presentation, and organization of data. Students in our programs gain the knowledge and technical skills necessary to use complex data in many different applications. The department offers three undergraduate degrees: one in Statistics, one in Actuarial Science, and one in Data Science. The graduate degree offered by the department includes an M.S. degree with two tracks in Data Mining and Statistical Computing, a SAS certificate program, and a Ph.D. degree in Big Data Analytics.

 

The Opportunity: 

UCF's School of Data, Mathematical, and Statistical Sciences (SDMSS) within the College of Sciences is seeking a professional Administrative Assistant III to serve as the assistant to the Director of the SDMSS. This role will be the organizational backbone of the school's leadership operations — ensuring that the Director and the broader school run with efficiency, professionalism, and care. This is a highly visible, high-trust role suited for a detail-oriented professional who takes pride in managing complexity, navigating confidential matters with discretion, and serving as a calm, reliable presence for a fast-paced academic environment. You'll be relied upon to manage the Director's calendar, coordinate internal and external communications, support Steering Committee logistics, and help keep the school's administrative operations running smoothly day to day. Responsibilities:

  • Manages and maintains the Director's complex calendar, scheduling internal and external meetings, coordinating sensitive appointments, and resolving competing scheduling priorities with minimal supervision.
  • Drafts, edits, and processes sensitive and confidential correspondence, memoranda, and briefing documents for the Director's signature. Tracks and manages confidential reports and communications for the Dean's Office and Provost.
  • Coordinates logistics for the SDMSS Steering Committee and other high-visibility meetings, including preparing and distributing sensitive materials, attendance recording, distributing official minutes and tracking follow-up action items.
  • Supports the Director with administrative coordination of sensitive faculty affairs matters, including promotion and tenure (P&T) dossier management, new hire logistics, and annual review processes.
  • Establishes and maintains confidential records, files, and electronic document systems in accordance with university retention policies.
  • Serves as the Director's primary administrative point of contact with the College Business Center regarding budget status inquiries and confidential HR processes.
  • Manages special projects coordinated across university departments and external stakeholders, ensuring sensitive and time-bound initiatives are completed accurately and on deadline.

Minimum Qualifications: 

High School Diploma or Equivalent and 4+ years of relevant experience; or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

 

Preferred Qualifications:

  • Experience providing high-level administrative support to a senior leader, director, or executive in a  professional services environment.
  • Demonstrated ability to draft, edit, and produce clear, professional written communications — including correspondence, executive-level documents, and administrative reports — with precision and attention to detail.
  • Proficiency in Microsoft Office Suite; experience with survey tools such as Qualtrics; and familiarity with artificial intelligence platforms to support administrative efficiency and workflow enhancement.

  • The anticipated hourly rate for this position is $20.29 - $22.57. The final rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
