Salary Range: $25.56 – $31.95 per hour
Hours: 37.5 hours per week   
Status: Temporary Full Time (18 month contract)
Shifts: Weekdays; Monday–Friday
Closing date: July 6, 2026

Position Summary

The Administrative Assistant II provides administrative support to the multidisciplinary Wallace McCain Centre for Pancreatic Cancer (WMCPC) at Princess Margaret Hospital. The WMCPC is an integrated multidisciplinary program dedicated to delivering high-quality, patient-centred care from diagnosis through every stage of the patient journey.

As a key member of the WMCPC team, the successful candidate will work collaboratively with physicians, allied health professionals and the Clinical Service Manager to coordinate patient appointments, referrals and clinic activities while providing professional, compassionate service to patients, families and healthcare providers.

The role supports the day-to-day operations of the clinic through patient scheduling, medical documentation, maintenance of patient records, coordination of diagnostic testing and general administrative support. The successful candidate will perform duties consistent with the Medical Administrative Assistant II classification while contributing to the efficient delivery of multidisciplinary patient care.

Duties

  • Schedule new patient consultations and follow-up appointments 
  • Support referral triage and coordinate referrals within the multidisciplinary program.
  • Schedule diagnostic tests, procedures and laboratory investigations as required
  • Retrieve, organize and maintain medical records and clinical documentation from internal and external sources before and after clinic visits.
  • Maintain accurate documentation within Epic, including transcription, order entry and multidisciplinary case conference documentation.
  • Track outstanding clinical information, including pathology reports, diagnostic results and referral requirements.
  • Maintain program databases, including REDCap, and ensure accurate and timely data entry.
  • Coordinate meetings, prepare agendas and record meeting minutes as required.
  • Provide administrative support to the Clinical Service Manager, physicians and allied health professionals.
  • Maintaining Program Website
  • Arranging Booking meetings for 3-15 people
  • Perform other related administrative duties consistent with the Medical Administrative Assistant II classification.

Qualifications

  • At minimum, Community College diploma in Medical Office Administration, Office Administration or an equivalent combination of education and experience, required. 
  • Two to three years of administrative experience, preferably in a hospital or academic healthcare environment.
  • Experience with patient scheduling, referrals and clinical documentation
  • Coordinating patients throughout the continuum of care, from referral to treatment, is an asset.
  • Proficiency with Microsoft Office applications.
  • Experience using Epic (or another electronic medical record), scheduling systems and database applications.
  • Experience with REDCap is an asset.
  • Knowledge of medical terminology; experience in oncology is an asset.
  • Excellent organizational, communication and customer service skills.
  • Demonstrated ability to respond to patient and family concerns with empathy, professionalism and discretion.
  • Ability to prioritize competing demands and work effectively in a fast-paced environment, both independently and collaboratively.
  • Demonstrated attention to detail and ability to produce accurate, high-quality work in accordance with organizational standards.
  • Strong commitment to maintaining patient confidentiality and commitment to workplace safety in accordance with the Occupational Health and Safety Act.
  • Deliver excellent customer service while maintaining professionalism, confidentiality and sensitivity to patient needs.
