Job Description

Location: Oklahoma Historical Society

Salary: up to $45,000.00, based on education and experience

Full Time /Part Time: Full Time

Work Schedule: Monday – Friday

Primary Hours: 8-5

 

Position Description:

The Administrative Assistant  will work directly under the supervision of the Deputy State Historic Preservation Officer. Primary duties will include providing administrative support to all program areas. Excellent verbal and written communication are essential for this position, as well as the ability to multitask. 

 

Position Responsibilities/Essential Functions:

  • Participates in projects as team member 
  • Develops and implements procedures 
  • Develops and maintains confidential or complex files 
  • Administers, prepares, or oversees administrative operational functions, such as preparing invoices and payments of claims, requisitions, purchase orders, bookkeeping or accounting, and other fiscal duties 
  • Coordinates activities with internal and external customers 
  • Interviews callers, arranges appointments, and performs other office tasks and duties 
  • Utilizes advanced technological equipment and data processing equipment to provide requested information to internal and external customers; edits documents and reports; examines and verifies reports and other documents for completeness, appropriateness, adequacy, and conformity to established requirements, and resolves discrepancies and refers complex discrepancies to appropriate staff 
  • Being present at the office is an essential function of the job. 
  • Other duties as assigned.

  • Demonstrates knowledge of and supports mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior.
  • Works effectively in team environment, participating and assisting their peers.

 

Minimum Qualifications:

Education and Experience requirements at this level consist of a bachelor’s degree plus one year of technical clerical, administrative, secretarial or general office work or an equivalent combination of education and experience.

Knowledge, Skills and Abilities required at this level include knowledge of spelling, punctuation, and business English; of business mathematics; of modern office methods and procedures; establishing and maintaining records; and major policies and procedures governing assigned programs. 

 

Physical Demands and Work Environment:

Being present at the office is an essential function of the job.


## NOTE: Under the National Historic Preservation Act, the Governor of each State designates the State Historic Preservation Officer to carry out the duties and responsibilities of the federal preservation programs for that State. The SHPO employs professional staff, in accordance with federal standards, to perform the related duties. In Oklahoma, the program is assigned to the Oklahoma Historical Society. The agency receives an annual allocation from the U.S. Department of the Interior’s Historic Preservation Fund which partially covers the program costs (60%), and the State of Oklahoma is responsible for the balance of these costs (40%).
