Job Description: Administrative Assistant II, STEM

Department: Student Learning & Success 

Reports To: Dean of STEM

Pay Classification: 140 (Minimum Salary: $40,200)

FLSA Status: Non-Exempt

Job Summary: The Administrative Assistant II provides administrative support to the assigned department and/or department lead. Coordinates the maintenance, organization, and administration of departmental functions, as needed.

Minimum Required

Education:                                       High school diploma or equivalent. 

                                                         Associate’s degree or higher, or a combination of education and experience that demonstrates the required knowledge, skills, and abilities preferred.  

Minimum Required 

Experience:                                    Two (2) – five (5) years of clerical, general office, or administrative support experience. 

 

                                                         Experience in secondary or higher education environments preferred.

 

Core Duties and 

Required Knowledge:                    Perform general administrative duties including coordinating department operations, scheduling appointments and meetings, answering phone calls, typing correspondence, filing, maintaining records, copying materials, ordering supplies, and distributing mail. 

                                                         Assist with budget management, purchase requisitions, and invoice processing. Serve as the liaison with the Administrative Services for purchasing needs. 

Build and update STEM classes (credit and CTE courses).

                                                          Coordinate departmental projects, meetings, and outreach activities; assist with advisory committees. 

                                                          Maintain faculty contact information and course logistics. 

                                                          Update and manage academic web content to ensure compliance with House Bill 2504. 

                                                          Prepare adjunct and overload contracts; maintain accurate documentation. 

                                                          Greet and guide students and visitors to the commons, testing center, and other campus locations; assist external partners with information and room reservations.

                                                          Unlock computer lab doors each morning.

                                                          Assist with table and events set-up.

                                                          Serve as a resource for students, providing guidance and directing inquiries appropriately. 

                                                          Submit support tickets and provide assistance to other administrative staff as needed.

                                                          Submit maintenance requests for the BHEC building.

                                                          Maintain classroom schedules for Burleson Higher Education Center.

                                                          Track and order copier paper.

                                                          Serve as the main point of contact between Burleson Higher Education Center and Burleson ISD.

                                                          Take attendance for Dual credit classes at BHEC when faculty is absent and no substitute is found.

                                                          Serves as the cashier, receiving tuition and testing payments, processing parking pass requests and paper cut funds. Assisting students with billing statements.

Collaboration:                               Collaborate with faculty, staff, and community organizations to promote programs and maintain positive relationships.

                                                         Support team efforts by contributing to a positive workplace environment. 

                                                         Serve as liaison with Burleson ISD maintenance staff and coordinate interdepartmental activities. 

                                                         Participate in institutional committees and collaborative projects.

                                                         Demonstrates a commitment to maintaining a welcoming and safe environment that provides a sense of belonging for all.

Demonstrated Attributes:          Detail-oriented, self-motivated, and capable of setting priorities and meeting deadlines.

                                                         Strong communication skills, both written and oral, with the ability to interact professionally at all levels.

                                                          Proficient in Microsoft Office Suite (Teams, Word, Excel, Outlook, Teams) and standard office equipment.

                                                          Excellent customer service, organization, and time-management skills.

Other Information:                       Security-sensitive position. 

                                                          Evening and weekend work may be required during peak periods. 

                                                          Primary location: Burleson campus; travel to other Hill College campuses or service areas as needed. 

                                                          Must possess a valid Texas driver’s license. 

Physical Requirements:               Light work; exerting up to 20 pounds of force occasionally and/or negligible amount of force constantly to lift, carry, push, pull or otherwise move objects, including the human body. The use of arm and or leg controls requires exertion of force greater than that for sedentary work.

Skills Required
