Position Summary
As an Admin Assistant I at Oncor, you will provide a broad scope of administrative and storeroom support to Big Spring Transmission. You will help process and monitor documentation, compile data, reconcile and provide reports which maintain company records and ensure audit accountability.
Key Roles & Responsibilities
- Process invoices, mail and correspondence, payroll, MasterCard, material requisitions, and other administrative paperwork.
- Maintain logs, collect receipts and verify expenditure account classification and approval. Resolve discrepancies, reconcile to statements received and verify account distribution.
- Assists in coordinating meetings and other activities.
- Custodian of office equipment such as fax, printer, postage meter and copy machine. Assign cell phones, coordinate repairs and billing. Purchase and maintain office supplies and other goods.
- Provide assistance to others on the use of Personal Computer (PC) software applications.
- Performs data entry and assists in tracking/reporting information in a variety of corporate proprietary computer applications.
- Maintains records and repairs for transportation assets such as licenses, permits, insurance and inspections, reports on vehicle usage and maintenance.
- Assist in receiving, storing, and shipping of material.
- Distribute materials for work authorizations.
- Expedite materials to job site.
- Maintain accurate and complete materials management information.
- Process and draft payment for claims due to damage or theft of property.
- May oversee building maintenance and custodial functions.
Skills
- Strong interpersonal skills.
- Knowledge and proficient use of Microsoft Office products.
- Keyboarding/Typing proficient.
- Effective Communication and interpersonal skills.
- Willingness to be forklift certified is required.
Education
- High School diploma, GED or equivalent is required.
Experience
- Minimum of 1 year of secretarial or administrative support experience is required.
- Applicants with Transmission Operations organization work experience are encouraged to apply.
- Applicants with experience working with Oncor systems such as FIM (Financial Information Management system), Maximo & PETE (PIP, EMT, TED, and Everything Else) are encouraged to apply.
