Job Title: Administrative Assistant I

Full Time: Monday-Friday 8:00AM-4:00PM

The Administrative Assistant I for Plant Operations receives all calls from both residents and employees requesting work to be done in the community. All work orders are entered into the computer, then distributed to maintenance staff. Completed work orders are entered by end of day.

PRINCIPLE DUTIES:

  • Accepts all calls from residents and employees for work orders & other assistance, displaying good judgment and excellent telephone etiquette
  • Returns calls within one business day; timeline is provided as to when work will be completed.
  • All work orders are entered into the system accurately and completely by end of day.
  • Maintains a high level of customer service for our residents, guests, and vendors. Works cooperatively with peers and is a team player.
  • Maintains pertinent department information. Ensure maintenance supplies have been replenished in work areas as necessary. Also maintains and tracks inventory.
  • Assists with in-person deliveries across campus.
  • Notifies necessary departments/groups/individuals of pertinent information.
  • Completes other administrative tasks as directed by supervisor.

QUALIFICATIONS:

  • At least one year experience as an administrative assistant, preferably in the plant operations (or maintenance) department in a retirement and/or healthcare setting
  • Strong phone skills
  • Strong written and verbal communication skills
  • Excellent customer service skills
  • General computer knowledge, including Microsoft Word, Excel, and Outlook
  • High School graduate/GED

La Costa Glen is a resort-style retirement community located in beautiful North San Diego County, only two and a half miles from the Pacific. The community is contained securely on 50 acres within a park-like preserve, surrounded by permanent open space. La Costa Glen is a Continuing Care Retirement Community (CCRC) offering a variety of villas and apartment homes to over 900 residents. Full services are provided, including restaurant style dining, housekeeping and laundry, maintenance services, transportation, fitness classes, wellness programs, and numerous activities.

Skills Required
