Role and responsibilities
The Administrative Assistant plays a critical role in supporting the Head of EHS & Manufacturing Operational Excellence by ensuring seamless coordination of executive schedules, complex travel arrangements, and confidential administrative needs. This position also leads the planning and execution of key engagement activities, business meetings, and onsite/offsite events, providing high‑quality logistical and operational support in a fast‑paced, dynamic environment. With a strong focus on professionalism, organization, and adaptability, this role helps enable smooth operations and meaningful employee experiences across the organization.
Executive Support
Manage the calendar of the Head of EHS & Manufacturing Operational Excellence
Coordinate international and domestic travel, including visas, passport renewals, ground transportation, and accommodations.
Maintain the highest level of confidentiality across corporate, personnel, and research matters.
Effectively manage constantly shifting schedules and meeting logistics, adjusting proactively in a fast‑paced environment.
Event Planning & Meeting Support
Plan and execute engagement activities, celebrations, and onsite/offsite events.
Organize business meetings, luncheons, dinners, and cross-sector engagements.
Manage all Staff, Quarterly, and Offsite meetings, including agenda creation, logistics, materials, onsite support, and event execution.
Assist with program/team celebrations, anniversaries, and other recognition events.
Provide catering coordination for meetings and special events.
Education and experience
Minimum of an Associate’s degree required; Bachelor's degree highly preferred.
Minimum of 3 years of administrative experience, with prior experience supporting senior leaders highly preferred.
