Job Summary
This position is responsible for the administrative support of senior plant-level operations managers as well as the professional and efficient managing of visitors, customers, telephone calls and messages at the reception area.
Responsibilities• Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries.
• Directs visitors by maintaining employee and department directories, giving instructions.
• Maintains security by following procedures; monitoring logbook; issuing visitor badges.
• Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.
• Maintains safe, clean and well-presented reception area by complying with procedures, rules, and regulations. Has ownership for the appearance of reception area comprising the entrance area, stairs, ground and first level seating areas.
• Drafts financial, statistical, narrative, and/or other reports as requested.
• Performs daily reporting tasks.
• Uses Oracle and other information sources to prepare reports and documents as assigned by management.
• Provide back-up and assistance to functions within the Operations Department.
• Arranges, participates in, and implements conferences and committee meetings.
• Arranges and coordinates travel, accommodation, car rentals and other needs for site personnel or visitors as directed by management.
• Monitors and controls stationary inventory levels and organizes replenishment as required.
• Composes letters, notes, spreadsheets and other documents at managements' request.
• Maintains confidential and non-confidential records as assigned by management
Qualifications• High school diploma, or equivalent, preferred
• Typing 40 wpm
• Excellent PC skills including MS Office, Outlook and Oracle.
• Capable of working independently.
• Strong communication and organizational skills.
• Relevant reception and administration experience
