About the Role
The Global ARC Administrative Assistant provides high‑quality administrative and operational support to Investment Banking professionals, helping ensure efficient day‑to‑day operations across a global platform. This role partners closely with Bankers, Executive Assistants, and ARC team members to deliver proactive coordination, accurate execution, and seamless support in a fast‑paced, deadline‑driven environment.
This position allows working from home. We provide the necessary equipment, collaboration tools and resources to ensure a productive remote work environment. The preferred shift for this role will be 6:00am - 3:00pm.
The Impact You’ll Make
Support a large group of junior Investment Bankers by delivering seamless, day‑to‑day administrative assistance
Manage complex, multi‑time‑zone calendars, including scheduling meetings and calls
Build and maintain strong client relationships through professional, responsive support
Arrange domestic and international travel and prepare related itineraries
Prepare and process expense reports using Concur
Enter, update, and maintain data in Salesforce and other internal systems
Act on behalf of bankers to submit, track, and monitor IT support tickets
Coordinate internal and external meetings and events by partnering with Executive Assistants, hospitality, and conference services teams
Provide coverage for ARC and Executive Assistants during absences or peak workload periods
Accept, log, and manage incoming job tickets as part of a rotational intake schedule
Stay current on compliance, travel, and expense policies across global locations
Support project‑based administrative work during periods of high demand
Maintain a high level of accuracy, organization, and performance while managing competing priorities
Participate in virtual ARC and Administrative All‑Hands meetings to foster engagement and collaboration
Provide ad‑hoc and general administrative support as needed, including document preparation and department administration
What You’ll Bring to Baird
Previous secretarial or administrative experience, preferably in investment banking or a fast‑paced, deadline‑driven environment
Strong organizational, time‑management, and prioritization skills
Exceptional attention to detail and commitment to accuracy
Ability to work effectively under pressure while managing a high volume of requests
Excellent verbal and written communication skills
A collaborative mindset with adaptability, critical thinking, and problem‑solving abilities
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Experience with travel and expense systems (Concur preferred)
Experience using CRM platforms (Salesforce preferred)
Familiarity with ticketing systems (Engage preferred) and AI scheduling tools (preferred)
